**Responsibilities**:
- Event Planning: Collaborate with the Events team to conceptualize and plan a range of community events, including festivals, concerts, exhibitions, workshops, and cultural celebrations. Develop event briefs, budgets, and timelines.
- Logistics Coordination: Oversee some logístical aspects of events, such as venue booking, equipment rentals, permits, and licenses. Coordinate with internal departments and external vendors to ensure timely delivery of required resources.
- Stakeholder Engagement: Liaise with community groups, local businesses, performers, and volunteers to foster positive relationships and secure their participation in events. Maintain regular communication to ensure alignment with event objectives.
- Marketing and Promotion: Assist in developing marketing materials, including event flyers, social media campaigns, and press releases. Collaborate with the Communications team to maximize event exposure and attendance.
- Volunteer Management: Recruit, train, and supervise event volunteers. Assign roles and responsibilities, ensure a positive volunteer experience, and provide necessary support during events.
- On-site Event Coordination: Coordinate event set-up, signage, and ensure smooth operations during events. Oversee activities, troubleshoot issues, and manage emergencies or unexpected situations.
- Budget Management: Monitor event budgets, track expenses, and ensure adherence to financial guidelines. Provide regular reports to the Events Manager on budget status and any variances.
- Post-Event Evaluation: Conduct post-event evaluations, gather feedback from attendees, stakeholders, and volunteers. Identify areas for improvement and make recommendations for future events.
Qualifications:
- Previous experience in event planning, preferably within a community or local council setting.
- Strong organisational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills for effective stakeholder engagement.
- Proficiency in coordinating logistics, including venue bookings, permits, and equipment rentals.
- Knowledge of marketing and promotional strategies to maximize event attendance.
- Ability to work flexible hours, including evenings and weekends, to oversee events.
- Budget management experience and the ability to handle financial aspects of events.
- Problem-solving skills and the ability to remain calm under pressure.
