Administration is to support A1 Care 4U tasks for compliance and the safety and well being of staff and clients within the A1 Care 4U office. Provides hands-on administrative and personal assistance to the CEO while managing office coordination, staff communication through Connect Teams, traineeship administration, training support, and internal design tasks such as staff IDs, posters, and advertisements. This role also includes occasional assistance with operational or practical tasks outside the office as directed by the CEO.

* Reviewing policies and procedures to ensure that they are relevant and correct.
* Ensure confidentiality when dealing with written or verbal communications in any business dealings.
* Stocktaking on a weekly basis e.g. handwash, hand sanitiser, gloves.
* Reporting of WHS incidents according to organisational procedures.
* Maintaining all required client documentation in accordance with organisational procedures, using either paper based or IT based recording systems, and maintaining required privacy requirements.
* Using IT systems for communication and efficiency of information flow.
* Maintain client files to meet the NDIS Practice Standards.
* Create and maintain complex spreadsheets.
* Manage own A1Care4U email inbox.
* Print, prepare, and file hard-copy forms, training packs, and reference materials.
* Maintain office supplies, stationery, toner, and general organisation of the office.
* Assist with meeting, training, and audit setup.
* Record completed tasks and updates in Connect Teams for team visibility.
* Prepare training materials including filling in trainer/assessor details, typing or formatting sections,
* entering assessor comments, and assembling full training packs.
* Take and prepare meeting minutes, post approved versions to Connect Teams and office noticeboard, and maintain archives.
* Create internal and external materials such as posters, flyers, staff IDs, and recruitment posts (under CEO direction).

Communication & Team Updates

* Post CEO-approved updates, memos, and reminders in Connect Teams.
* Circulate rosters, notices, or urgent messages to staff as directed.
* Relay feedback or questions from staff to the CEO or Care Manager.
* Keep noticeboards and printed communications current and tidy.

Traineeship Administration

* Manage trainee documentation from enrolment through to completion.
* Submit traineeship claims and progress updates to the traineeship board.
* Liaise with Transformational Institute and other training providers.
* Track trainee milestones, probation periods, and certification progress.

Job Types: Casual, Part-time

Expected hours: No less than 28 per week
