Primary objective
Provide comprehensive, confidential, administrative support to the business unit, including administrative coordination, secretariat
support, Ministerial Liaison, reporting, management and support of administration officers and monitoring of a number of business unit
functions.
Context statement
The CARE and 360VoC Business Alignment Unit brings together a range of functions to support and sustain the CARE and the 360 Degree
View of the Child systems. The Program Officer provides administration support to the Director and business unit on a variety of projects,
initiatives, and general operations of the business unit.
Key duties and responsibilities
1. Support the CARE Business Alignment Unit with strategic and operational business improvement planning and day to day
administration support as required. Support the Director in the planning and delivery of operational business unit functions including,
KPIs, benefits realisation tracking, operational and tactical plans, reporting routines, monitoring, and reporting to relevant committees,
establishing internal work processes, tools, and templates.
1. Provide leadership and management of small administration team providing data entry and management of registers, processes,
databases, and record management relating to the CARE and 360VoC systems.
1. Provide comprehensive administrative support to the CARE Business Alignment Unit, including:
2. Undertaking high level Secretariat duties for working groups, committees, and events/functions (including coordination and
logistical arrangements).
* Manage and deliver effective and efficient workflows and high-quality products within the unit. Manage email inboxes, diaries,
meetings, and travel arrangements. Maintain appropriate administrative systems, registers, processes, databases, and record
management.
1. Manage a range of procurement functions including travel arrangements, purchasing, and processing credit card transactions.
2. Liaise in a respectful and confidential manner with a wide range of clients including but not limited to, all levels of staff within the
agency, external stakeholders, and the general public.
Selection criteria
Essential
1. Demonstrated successful experience and ability to provide high level administrative support and secretariat functions to an executive
area and prioritise and meet deadlines with a high attention to detail, sound judgement, and the ability to maintain confidentiality.
2. Prior experience operating in a fast-paced environment with strong organisational and time management skills; with demonstrated
ability to prioritise tasks, work independently with minimal supervision and work under pressure. High level of motivation and ability
to monitor and meet changing priorities and deadlines.
1. Demonstrated high level interpersonal, oral, and written communication skills, with a demonstrated ability to communicate
professionally and effectively at all levels, including with people from diverse cultures and backgrounds.
1. Ability to work effectively in a collaborative and agile team, with demonstrable ability to achieve outcomes using problem solving and
influencing skills.
1. Sound competence with records management and computer systems, such as MS Office, JIRA, TRIM and major NTG business systems.
