Primary objective

Provide high level administrative and secretarial support to the Director and Quality Education and Care NT team

Context statement

Quality Standards and Regulation (QSR) QSR works with stakeholders to support the Territory's education and care sector to

operate effectively within legislation, policy, and best practice. QSR: Regulate, Innovate, Coordinate, Communicate and Integrate

to strengthen outcomes for children and young people through robust education and care compliance, standards, and regulation.

Quality Education and Care NT (QECNT) is responsible for the implementation and administration of the National Quality

Framework across the Northern Territory.

Key duties and responsibilities

1. Provide administrative and secretariat support to QECNT to ensure deadlines and organisational objectives are met such as

arranging meetings, formatting of documents, purchase of resources and maintenance of office equipment.

2. Process all incoming correspondence and maintain records in HPE Contents Manager (TRM); coordinate travel arrangements

through the Travel Request Information Processing System (TRIPS), coordinate the use and maintenance of QECNT fleet

vehicle and process purchase requests and invoices through Electronic Invoice Management System (EIMs)

1. Manage general enquiries from the public and liaise effectively with departmental officers, schools, the regulated education

and care sector, and external organisations.

1. Maintain confidentiality and have high ethical standards including compliance with the code of conduct and professional

obligations of privacy, security, and confidentiality

Selection criteria

Essential

1. Demonstrated ability in the coordination of effective and system wide administrative and secretariat support including

document preparation, coordination of calendars, booking meetings, coordinating agendas, taking minutes and records

management.

1. Well-developed organisational and problem-solving skills with proven ability to work independently and effectively with high

levels of self-motivation to meet deadlines with conflicting priorities.

1. Demonstrated ability to coordinate all facets of planned and ad hoc staff travel across multidisciplinary teams.

2. Demonstrated ability to follow project plans and to complete set tasks while communicating progress effectively.

3. Experience in a range of software packages including word processing, spread sheets, databases, records management,

including payment of invoices through accounting software.

6. Highly developed interpersonal, cross cultural, oral, and written skills to communicate effectively with a broad range of

stakeholders and able to interact and work effectively with people from diverse cultures

Desirable

1. Experience with Northern Territory Public Sector records management system (HPE Contents Manager), Travel Request

Information Processing Systems (TRIPS) and Electronic Invoice Management System (EIMs).
