Executive Officer Role
Our organization is seeking an Executive Officer to support the zone. The successful candidate will be responsible for a range of administrative tasks, including meeting coordination and correspondence.
Key Responsibilities
Meetings Administration: Arrange meetings, compile agendas and minutes, and ensure all necessary documents are prepared and distributed.
Principal Point of Contact: Be the primary point of contact for all zone business, ensuring prompt and effective communication with stakeholders.
Liaison Services: Provide liaison services as required, working closely with the Zone President and other key stakeholders.
Agenda and Minute Preparation: Prepare detailed agendas and minutes for all meetings, ensuring accurate records of decisions and actions.
Meeting Logistics: Coordinate logistics for meetings, including venue booking, room set-up, and catering arrangements.
Correspondence and Action Items: Prepare correspondence and action items as required, ensuring timely and effective communication with stakeholders.
Guest Speaker Arrangements: Arrange guest speakers for zone meetings, ensuring engaging and informative presentations.
Financial Reporting and Management: Manage financial reporting and administration, ensuring accurate and timely recording of financial transactions.
Event Organization: Organize any additional events or meetings as required, ensuring seamless logistics and effective communication.
Requirements
To be considered for this role, applicants must demonstrate:
Business management skills, with experience in coordinating complex projects and teams.
Effective communication and interpersonal skills, with the ability to build strong relationships with stakeholders.
Ability to work independently, with minimal supervision, and as part of a team.
Organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
Basic computer skills, with proficiency in Microsoft Office applications.
