A fantastic opportunity exists for an Office Manager to join a high-end architectural business in South Melbourne. This eco-centric commercial firm is seeking a detail-oriented and proactive professional to oversee administrative, financial, and project coordination tasks.
Your Key Duties & Responsibilities:


Administrative Duties

* Managing office supplies, equipment, and vendor relationships
* Organising meetings, taking minutes, and preparing reports
* Handling correspondence, emails, and phone calls
* Ensuring compliance with office policies and procedures
* Assisting with payroll and managing invoices
* Tracking expenses and budgets using Rapport3 (cloud-based project management software)
* Overseeing employee onboarding and HR documentation
* Coordinating staff training and professional development


Project & Client Support

* Assisting with project administration and documentation
* Coordinating client meetings and maintaining records
* Managing contracts, permits, and compliance requirements
* Supporting architects with submissions and reports


Office Coordination & Culture

* Ensuring a productive office environment
* Organising team-building activities and company events
* Overseeing health and safety compliance
* Acting as a liaison between management and staff

Skills & Experience needed:

* Experience in office management, administration, or operations
* Preferably in an architectural, engineering, or construction firm)
* Strong administrative and organisational skills
* Experience handling financial tasks (invoicing, payroll, expense tracking)
* Familiarity with architectural or construction project workflows ideal
* Experience in managing invoices, and expense tracking using cloud based project and resource management software Rapport3
* Proficiency in Microsoft Office, and project management tools
* Strong problem-solving skills and ability to take initiative
