We are currently seeking a dynamic and experienced Service Administrator / Warranty Clerk to join our Service team. This role is ideal for someone with strong computer proficiency, dealership service department experience and excellent time management skills.
Your primary responsibilities will include managing and processing warranty claims accurately and efficiently, while also assisting with the costing of daily repair orders to ensure labour, parts, sublets and sundries are correctly accounted for prior to invoicing.
In this role, you will support the Service Department through efficient administration, warranty processing and customer-focused service, ensuring all documentation and systems are maintained to a high standard.

KEY RESPONSIBILITIES:
• Process and manage warranty claims in accordance with manufacturer guidelines
• Prepare and maintain service invoices and job costing
• Review, process and follow up on returned, rejected or adjusted warranty claims through to final resolution
• Maintain service records, reports and KPI requirements
• Liaise effectively with Workshop and Admin teams to ensure exceptional customer service
• Ensure all paperwork is completed accurately and within required timeframes
• Assist in maintaining strong customer relationships through professional service
• Ensure technician stories are accurate and compliant with manufacturer and dealership warranty policies
• Contribute to the overall efficiency and profitability of the Service Department
DESIRABLE ATTRIBUTES:
• Previous experience as a Service Administrator or Warranty Clerk
• Job costing and invoicing experience
• Strong organisational skills with the ability to prioritise workloads
• Computer literate with experience with Pentana DMS (DealerPro) will be considered favourably
• Excellent customer service skills
• Self-motivated with the ability to work independently and as part of a team
