Overview

As our Administration Officer, you will play a pivotal role at the centre of a dynamic, multidisciplinary team – gaining exposure to a diverse portfolio of specialised services while making a meaningful impact on the delivery of compassionate, community‐based care.

Remuneration: $75 176.8 – $76 897.65 Per annum + 12% Super + Salary Packaging

Responsibilities

* Act as a central point of coordination and communication for the Aged Care Services portfolio, ensuring the smooth flow of information and support across the service.
* Manage incoming communications including phone calls, emails and correspondence, triaging, prioritising and actioning matters.
* Engage with a broad range of stakeholders – patients, families, clinicians, GPs and external providers such as ambulance services – while maintaining professionalism, discretion and confidentiality.
* Provide high‐level administrative and secretarial support to the Nurse Manager and broader team, including diary and email management, coordinating meetings, preparing agendas and minutes, monitoring actions and deadlines.
* Assist with preparing reports, drafting correspondence, ensuring all documentation is clear, accurate and delivered timely.
* Perform data entry and management across multiple systems (HealthRoster, CHIME, IPM, CAP and Microsoft 365 platforms such as Teams and OneNote), maintaining data integrity, generating reports and supporting effective record management processes.
* Balance routine administrative responsibilities with more complex coordination tasks such as supporting service delivery, aiding rostering, invoicing and procurement activities, and responding to changing priorities in a fast‐paced environment.
* Demonstrate strong organisational skills, initiative, flexibility and a high level of attention to detail.

Where You'll Be Working

Based at the Newcastle Community Health Centre, this position sits within a diverse and highly specialised Aged Care Services portfolio committed to enhancing outcomes for older people across the community.

You will deliver high‐level administrative support across a broad range of respected programs including the Transitional Aged Care Program, Dementia Advisory Service, Community Dementia Nurses, Greater Newcastle Dementia Neuropsychology Service, Nurse Practitioner in Aged Care and the Residential Aged Care In‐Reach Service.

Qualifications & Requirements

* Current NSW Driver's Licence; ability to travel for work purposes.
* High degree of organisational and administrative competence, ability to manage a diverse and evolving workload within a fast‐paced environment.
* Demonstrated excellence in administrative and organisational skills, supporting a multidisciplinary team.
* Strong, polished communication skills; confident in interacting with stakeholders.
* Proven ability to manage confidential and sensitive information with utmost discretion and integrity.
* Highly developed time‐management skills, prioritising competing demands and meeting deadlines.
* Exceptional attention to detail for data entry, documentation and reporting tasks.
* Flexible and adaptable approach; able to work autonomously and collaboratively.
* Experience in a healthcare or aged‐care setting (highly regarded but not essential).
* Familiarity with NSW Health systems such as HealthRoster, CHIME, IPM and CAP, plus experience in data management, reporting and quality processes (desirable).
* Understanding of aged‐care and/or dementia services, commitment to supporting patient‐centred care (desirable).
