Job Purpose:
To assist with the administration and accounts payable functions across multiple dealership franchises, ensuring the accurate and timely processing of vendor invoices, refunds and reimbursements, payment scheduling, and compliance with financial policies.
Key Responsibilities:
Invoice Processing & Payment:
* Receive, review, and process vendor invoices for goods and services provided to the dealership.
* Verify that invoices are correctly coded, match purchase orders, and are within agreed terms.
* Prepare invoices for payment, ensuring that payment schedules align with supplier terms and dealership cash flow.
* Ensure payments are made in a timely and accurate manner to avoid late fees or disruption of services.
Vendor Relations & Communication:
* Manage an accounts payable email inbox. Respond to email queries and coordinate with internal departments (e.g. Parts, Service, Sales) where appropriate.
* Maintain positive working relationships with suppliers to ensure seamless communication and prompt resolution of disputes.
Compliance & Reporting:
* Ensure adherence to dealership financial policies and procedures, as well as compliance with tax regulations (e.g. GST).
* Ensure AP documentation, including invoices, receipts, and payment confirmations, are filed and stored according to dealership procedures.
* Keep records up to date for audit purposes.
Other Administrative Duties:
* Assist with overflow telephone calls, directing callers to the appropriate staff members for their attention.
* Assist with other ad hoc office tasks as directed. Jump in to support the day-to-day, from organising documents to tracking important information.
Key Skills & Experience
* Proficiency in Microsoft Excel.
* Strong communication and interpersonal skills.
* Excellent organisational and time management skills.
* High attention to detail and ability to spot discrepancies in financial data.
* Understanding of accounts payable processes and accounting principles with be highly regarded.
* Experience in an automotive dealership and familiarity with Pentana software will be highly regarded.
