The Personal Assistant provides high-level administrative support to a licensed real estate principal agent, ensuring efficient daily operations and effective communication within the real estate business. This role requires exceptional organizational skills, discretion, and the ability to handle confidential information with professionalism.
* Connect with our team, clients, and industry contacts to keep the real estate business running smoothly
* Put together reports, notes, memos, emails, and other everyday documents for the principal agent
* Keep sensitive files and documents safe and organized, including client info, contracts, and property deals
* Manage calendars, book property viewings, set up client meetings, and arrange travel for the principal agent
* Handle incoming and outgoing mail, organize correspondence, and keep detailed records of all transactions
* Answer phone calls, help clients with questions, and connect them with the right team members
* Backup Property Managers with property inspections, tenant applications and key pickups
* Get property paperwork in order, including listings, contracts, and closing documents
* Help create property marketing materials and listing details
* Set up property viewings and open houses with clients and other agents
* Build relationships with clients through regular check-ins and follow-ups
* Set up and maintain digital and paper filing systems so property and client info is easy to find
* Guide junior staff when needed, showing them the ropes and delegating tasks
* Order office supplies and make sure equipment is working properly
Personal Assistant to LicenseeRequired
* Minimum 3 years of experience in administrative support roles, preferably in real estate
* Exceptional written and verbal communication skills
* Strong organizational abilities and attention to detail
* Ability to maintain confidentiality and handle sensitive information with discretion

* Real estate license or willingness to obtain one
* Experience with property management software
* Experience in property management
