About the role The Project Administrator will provide administration support to the Project Administration Lead and site based Operations Leadership team. Duties that this position will undertake include reporting, communication, finance, payroll, commercial notifications and contractual administration. About You You will collaborate with the UGL and Client teams, draw on yours and their diverse skills and create an environment where great ideas are heard, and everyone looks out for one another. Ideally you will have:
* Advanced Microsoft Office skills in particular Excel
* Strong understanding in the use of SAP
* Similar experience in an on boarding/mobilisation role
* Project and / or site experience in a site administration role
* Ability to work in an effective team environment and promote positive behaviours
* High level of attention to detail
* Ability to adapt to change and learn new systems and processes
* Demonstrated ability to create and maintain internal and external relationships
* Ability to work autonomously, maintain confidentiality and organise / prioritise demands
* Ability to manage multiple complex tasks simultaneously, set and meet deadlines and follow through within a fast-paced environment
* Demonstrated high level of negotiation and influencing skills
Key responsibility areas
* Create purchase orders, goods receipt, and process vendor requests
* Have a clear understanding of all pay rates, relevant Awards, EBA’s and contracts relevant to the project
* Process timesheets and payroll queries with site personnel
* Administer communication with employees
* Liaise with customers, suppliers, employees and public, both internal and external, ensuring positive interaction with effective job management
* Maintain the data integrity of the contract financial data in SAP
* Understand and comply with all company procedures
* Enter the hours from SAP onto the claim sheets
* Follow up on any missing hours/discrepancies
* Create new projects in SAP
* Ensure all travel arrangement are completed as per required timeframes
