The Quality & Procurement Assistant plays a dual role in managing procurement activities and ensuring product and supplier quality standards are met. We are seeking a highly organised and detail-oriented Quality & Purchasing Assistant to join our team. This role is ideal for someone with strong procurement, inventory control, and quality assurance experience, who thrives in a fast-paced environment and enjoys working across purchasing, warehouse coordination, and ISO-compliant quality systems. The assistant will collaborate with internal departments and external suppliers to maintain accurate order records, monitor inventory levels, and support continuous improvement across the procurement and supply chain processes.
Responsibilities:
· Raise and process local and international purchase orders based on stock levels and customer requirements
· Monitor supplier pricing and negotiate improved rates, lead times, and payment terms
· Maintain regular communication with suppliers regarding pricing, availability, and delivery schedules
· Follow up on pending deliveries to ensure timely receipt of goods
· Report and resolve delivery discrepancies, damaged goods, or non-conformances
· Maintain regular communication with warehouse staff regarding incoming shipments and operational needs
· Visit the warehouse as required to check stock and receiving requirements
· Receive incoming stock and verify delivery notes and invoices against purchase orders
· Coordinate with warehouse staff to ensure correct storage and labelling
· Monitor stock levels and proactively reorder to prevent stock shortages
· Maintain accurate stock locations and item records
· Implement and maintain quality control processes and procedures.
· Maintain and update supplier databases, pricing lists, and procurement documentation.
· Maintain up-to-date supplier contact information and price lists.
· Track order confirmations, shipment updates, and deliveries.
· Monitor supplier performance, including delivery, quality, and defect rates
· Maintain supplier quality records and ISO certification documentation
· Assist with internal audits and ensure alignment with ISO 9001:2015 requirements
· Support Quality Management System (QMS) documentation, including:
· Internal audit schedules
· Management review meeting minutes and reports
Skills and Qualifications
· Previous experience in purchasing, inventory, or quality assurance role
· Confident communicator with suppliers, warehouse staff, and internal teams
· Willingness to spend time in the warehouse to understand operational needs
· Ability to manage multiple priorities and meet deadlines
· Experience with ERP systems (Business Central or similar highly regarded)
· Knowledge of ISO 9001:2015 standards is an advantage
· Ability to work independently and as part of a team.
· High level attention to detail is crucial.

Pay: $60,000.00 – $65,000.00 per year
