ABOUT THE ROLE: Under the direction of the Business Manager, the LSMU Administration Assistant provides administrative functions to the LSMU team. The position works closely with the LSMU team in Broome and Ranger Groups across the Kimberley to ensure that the day-to-day operational services is delivered. This role will ensure, in collaboration with the other members of the admin team, that regular processing of payment is constant and well managed, that remote LSMU staff have a high level of support, contact and training.
Key Responsibilities
- Provide day to day administration support to the LSMU team
- Collation of invoices and tracking of Purchase Orders including the creation of Purchase orders
- Arranging meetings, organise travel and accommodation bookings
- Processing casual timesheets and reimbursement forms, inclusive of collating ERF’s (expenditure requisition forms) for payments in accordance with KLC policies and procedures
- Ordering and distribution of uniforms for the Ranger teams
- Participate in KLC Regional Teams Planning & Activities – providing logistical support and leadership with organisation for these events
- In collaboration with the Business Manager review and maintain: LSMU Assets register, ensuring that all information provided by Ranger Groups/ Ranger Coordinators are current and up to date
- Provide support to ranger staff on a weekly basis
- Maintain vehicle booking system within the LSMU team, ensuring staff plan and book vehicles with you as the first point of contact
- Payment processes, provide recommendations as part of the administration team to ensure remote staff are well supported
- Assist Business Manager with the collation of data regarding reporting requirements under the funding streams
- Maintaining and updating the LSMU Operations manual
- Maintain a safe workspace and actively contribute to the health and safety of the workplace by adhering to all health and safety policies and procedures
- Comply with all internal KLC policies and procedures and ensure the team’s adherence
- Demonstrate awareness and commitment to the KLC Vision and its Values
Selection Criteria
Essential:
- Relevant high-level experience in administration or office procedures.
- Ability to work both independently and as a part of a team.
- Possess excellent verbal and written communication skills for a range of audiences and to communicate sensitively and effectively with a range of audiences;
- Demonstrates well developed organisational skills, time management skills and the ability to prioritise and find solutions to complex problems;
- Proficiency in Microsoft Office software applications and familiarity with standard software and financial operating systems;
- Ability to work as part of a dynamic and dedicated team, as well as autonomously.
- High level of attention to detail and presentation.
Desirable:
- Current Western Australian driver’s license.
