**About the role**
The Executive Assistant to Deputy CEO, Chief Operating Officer is responsible for providing confidential and high-level executive assistance through the delivery of high quality administrative, organisational and support services including diary management, meeting coordination, document preparation and records management. The Executive Assistant is a primary point of contact for the Deputy's office and must represent and promote their values at all times.
Key responsibilities will include providing executive support to the Deputy CEO by:
- Working closely with the Deputy CEO's Executive Officer to support the effective and efficient functioning of the Office of the Deputy CEO.
- Assisting with the preparation of reports, correspondence and submissions.
- Maintaining the diary and appointment arrangements, including coordinating a range of meetings and activities and organising Deputy CEO travel.
- Act as a point of contact for the Deputy CEO office for enquiries and approaches from Commonwealth, state and territory partners, industry, academia, the media and the public.
- Liaising with internal and external executives and their offices.
To be successful in this role, you will demonstrate the following experience, skills and attributes:
- Demonstrated organisational skills, including an ability to prioritise work tasks effectively and anticipate the needs of the Deputy given the dynamic and fast-paced environment.
- Excellent written and oral communication skills, including the ability to draft documents based on existing material or through research.
- Excellent interpersonal skills, including the ability to develop and maintain productive working relationships both internally and externally.
- An ability to prioritise tasks, be flexible and the demonstrate the ability to maintain a calm approach while working under pressure and across managing competing priorities.
- An ability to take initiative to improve current processes and practices to ensure efficient functioning of the Deputy's office.
- A professional approach at all times, operating within the boundaries of organisational processes with a high level of confidentiality and discretion.
An interest in the work of the ACIC is highly desirable, as is previous experience in supporting senior executive in a fast paced, high volume and pressures professional working environment.
