Immigrant Women's Support Service (IWSS) is a specialist organisation that provides support to women, children and young people from culturally and linguistically diverse backgrounds who have experienced domestic, family and sexual violence. About THE ROLE

As an Administration Officer, you will provide essential administrative support to ensure the efficient and effective operation of IWSS. You will be responsible for maintaining administrative systems, coordinating office activities, managing correspondence, and providing excellent customer service to internal and external stakeholders.

This role requires strong organisational skills, attention to detail, proficiency in office technology, and the ability to work collaboratively as part of a team. The Administration Officer plays a vital role in supporting the organisation's operations and contributing to a positive and productive work environment.

The successful candidate will demonstrate initiative, adaptability, and a commitment to maintaining professional standards in all aspects of administrative support.

Key Responsibilities
* Provide comprehensive administrative support including correspondence, document preparation, filing and general office operations
* Coordinate meetings, appointments and events including agendas, minutes, room bookings and catering
* Manage incoming and outgoing communications — phone, email, mail and visitor enquiries — with a professional and courteous response at all times
* Prepare, format, edit and proofread documents, reports and presentations to a high standard
* Process financial administration including invoices, purchase orders, expense claims, petty cash and budget tracking
* Support HR administration including personnel records, recruitment coordination and onboarding of new staff
* Assist with social media content drafting, scheduling and monitoring in line with IWSS communications guidelines
* Maintain and update compliance registers, ensuring organisational obligations and certifications are accurately recorded and escalated as required
* Maintain confidentiality and handle sensitive information in accordance with privacy legislation and organisational policy
* Contribute to continuous improvement by identifying opportunities to enhance administrative systems and processes
What You Will Bring
* Year 12 or equivalent; post-secondary qualifications in Business Administration or a related field are highly desirable
* Minimum two years' experience in an administrative support role
* Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
* Excellent written and verbal communication skills with strong proofreading and document preparation abilities
* Strong organisational and time management skills with the ability to prioritise competing demands and meet deadlines
* High attention to detail and accuracy in all aspects of work
* Discretion, integrity and sound judgement when handling confidential and sensitive information
* Positive, proactive and flexible approach with genuine commitment to teamwork and collaboration
