About the role
The
IT Administrative Officer
reports into the Service Delivery Manager and is responsible for undertaking a variety of administrative functions across the ICT Team. This includes payment of IT invoices, meeting agenda and minutes, Telstra billing, IT budget tracking, IT procurement support, IT hardware asset administration and supporting IT Functional Leads. The role is critical and requires developing and maintaining documentation of all processes under this area of responsibility.
Key responsibilities
Facilitate correct payment of ICT invoices and liaise centrally with Finance for all ICT invoice matters.
Maintain the master ICT contracts and software registers, annual ICT budget actual worksheet, and contract/vendor evaluation documents.
Monitor the ICT invoice inbox and respond to less complex inquiries.
Prepare documents for ICT team meetings and vendor meetings, including minutes, agendas and meeting requests.
Act as a Homebase coordinator for your site, ensuring that the IT hardware asset station is managed according to the IT hardware asset station handbook.
Provide procedural, administrative and operational support to the Information Management team.
Complete other duties as required.
What you'll bring to the team
Experience working in an ICT team or performing administrative functions.
Experience using ServiceNow as an IT Service Management tool.
Experience managing ICT budgets and vendors.
Office 365 experience working with Excel, MS Teams and SharePoint.
Ability to work on different technology platforms.
Analytical and research skills, with the ability to collect and analyse complex material and data, and present it in an accessible form.
Good oral and written communication and the capacity to balance priorities to meet or exceed customer needs.
Cultural capability
Awareness and understanding of Aboriginal and/or Torres Strait Islander societies and culture.
Ability to liaise and communicate sensitively and effectively with Aboriginal and Torres Strait Islander staff.
