We are seeking an experienced Operations Manager to lead our administrative team and drive seamless day-to-day operations.
Key Responsibilities:
* Team Leadership: Strategically manage the administrative team, setting goals, and prioritizing deadlines to maintain efficient office systems and compliance with regulatory requirements.
* Process Improvement: Identify opportunities for process enhancements and implement effective solutions to boost productivity and efficiency.
* Document Management: Oversee and maintain company documentation and filing systems to ensure compliance with regulations and minimize errors and fraud.
* Reporting: Provide in-depth reporting for job management and project support, as well as develop operational reports to facilitate tasks.
* Risk Management: Maintain internal controls and corporate governance to minimize risks and ensure smooth business operations.
* End-of-Month Duties: Ensure timely completion of end-of-month duties, including exception reporting, monthly consolidation, worksheets, and reports.
* Financial Reconciliation: Reconcile credit cards and pre-payment accounts within set deadlines to maintain accurate financial records.
* Maintenance Coordination: Closely monitor and coordinate routine facility maintenance and manage service providers to maintain a safe and productive work environment.
* Culture Development: Foster a culture of continuous improvement by encouraging innovation and professional development among team members.
* Relationship Building: Build and maintain strong relationships with internal and external stakeholders, promoting effective communication and collaboration.
* Direct Supervision: Supervise, mentor, and train direct reports in line with company policies, position descriptions, and performance agreements to promote employee growth and development.
