Position summary
We are seeking a proactive Office Manager to oversee and coordinate the administrative and operational functions of our architectural practice. The role involves managing office systems, supervising administrative staff, supporting project teams, and ensuring efficient day-to-day operations. It combines office administration, resource coordination, staff support, financial record management, and compliance with workplace policies to support the firm’s ongoing growth and project delivery.
Key responsibilities
* Coordinate and oversee the day-to-day administrative operations of the architectural office to ensure efficient workflow and support for project teams.
* Maintain and organise office records, project documentation, client correspondence, and financial files while ensuring confidentiality and proper record-keeping practices.
* Supervise administrative staff by allocating tasks, monitoring work performance, and providing guidance to ensure deadlines and organisational goals are achieved.
* Manage procurement and inventory of office supplies, studio materials, and equipment required for architectural design and administrative activities.
* Oversee the maintenance and functionality of office equipment, IT systems, and workspace facilities to ensure uninterrupted operations.
* Assist directors and project architects with scheduling, meeting coordination, and general administrative support related to architectural projects and client engagements.
* Implement and review office administrative systems, procedures, and policies to improve operational efficiency and support business growth.
* Monitor compliance with workplace health and safety requirements to maintain a safe and professional office environment.
* Coordinate staff recruitment processes, onboarding, and administrative support for payroll, training, and performance management activities.
* Support financial administration by assisting with invoice processing, expense tracking, and maintaining accurate financial records in line with company policies.

* At least 3 years of relevant experience
