Role Description:
The Administration and Student Support Officer will work alongside academic and administrative staff to support student as one of the first points of contact for enrolled students. The Administration and Student Support Officer will be responsible for supporting students with any issues that may impact on a student's academic and their well-being at AHE.
As such, the Administration and Student Support Officer must have a complete understanding of Australia's higher education sector, the international student experience, and must be able to cultivate a working relationship with all students and their needs.
Whilst it is expected that the Administration and Student Support Officer will have an understanding of the various aspects of an international students' education experience, they may refer students to external service providers as required.
Key Responsibilities:
Student Support
• Deliver excellence in frontline customer service through innovative, consistent and quality service.
• Provide advice and assistance/referral to support services to support the student experience.
• Provide general administrative services including the follow up of academic transcripts and awards and the production of official documentation, front of house reception duties, correspondence, database maintenance, filing, reporting and others as required.
• Participate, support coordination and delivery of campus events and campus tours
• Building rapport with students to actively encourage and ensure they feel comfortable and supported.
• Key role in providing non-academic support to overseas students, including providing AHE student support under ESOS Act of 2000 and the National Code of Practice for Providers of Education and Training to Overseas Students 2018
• Provide support for the Campus on a wide variety of administrative tasks to ensure the fulfilment of Apex Higher Education policy and procedures.
• Effective use of relevant Microsoft Office programs to create documents, enter and maintain data, manage processes and provide general administrative support.
Administration
• Provide high-quality administrative and logistical support across a variety of tasks.
• Collate and prepare reports, meeting documentation, and correspondence using MS Office.
• Respond to enquiries with professionalism, accuracy, and a strong customer service focus.
• Liaise with internal and external stakeholders to support operational needs.
• Maintain accurate records, manage procurement of consumables, and ensure compliance with College policies.
• Act as the first point of contact for staff, students, and visitors.
• Maintain and update information in the records management system, ensuring accurate filing, ease of retrieval, and compliance with university policy and legislative requirements related to archiving and disposal.
Essential Qualifications and Experience:
• Demonstrated administrative support experience with the ability to adapt to a variety of tasks.
• Strong interpersonal and communication skills with a professional, customer-focused approach.
• Proven organisational skills, with the ability to prioritise and meet deadlines.
• Proficiency in computer applications, including MS Office and email.
• Have a good understanding of the demands of the sector
• Be passionate about customer service and student outcomes
• Have experience using student or client management system including Meshed
• Will have experience and skills with the Microsoft Suite at an intermediate to advanced level
• Be curious about process and the opportunities for improvement
