Overview

Therapy and Learning Centre is a leading provider of occupational therapy and physiotherapy services for children aged from birth to 18 years old. We are dedicated to helping children reach their full potential and provide a supportive and caring environment.

About You

* Certificate in Administration or equivalent experience
* Working with Children's Check
* National Drivers License and Own transport
* National Police Check
* Level 2 First Aid and CPR Certificate
* NDIS Worker Check

Position Summary

As the Receptionist, you will be representing the practice as the first point of contact for clients and other stakeholders. You will be responsible for positively shaping the interaction that clients have with the practice, ensuring that you provide excellent customer service through all means of communication. You will also look after a range of administrative duties to ensure the smooth operations of the practice while supporting the allied health team and management. We are currently seeking a dedicated and organised Full-Time Receptionist to join our team.

Responsibilities

* To provide administrative support services to clients, contractors and employees of TLC.
* To establish and maintain positive relationships with clients, their families and all staff and management at TLC

Key Requirements

* 1-2 years' experience in a similar role
* Accurate typing – 40wpm
* Excellent computer skills and knowledge
* Excellent Microsoft Office and Google doc knowledge
* Knowledge and operation of standard office equipment
* Current knowledge of clerical and administrative procedures and systems such as filing and record keeping
* Strong communication skills - written and verbal
* Excellent planning and organising
* Ability to effectively prioritizing
* Problem assessment and problem solving skills
* Information gathering and information monitoring
* High attention to detail and accuracy
* Flexibility and adaptability
* Strong customer service orientated
* Teamwork focus and approach

General Administration

* Emails management, opening, forwarding, posting, filing as required.
* File management.
* Development of resources as required.
* Light cleaning and tidying duties as required. Maintain a clean and organised clinic.
* Promotion of TLC services and products.
* Ensure compliance with privacy and confidentiality policies.

Client Services

* Reception duties including meeting and greeting clients.
* Manage phone calls, emails, and in-person inquiries promptly and professionally.
* Taking payments and email invoices.

Practice Management Software

* Diary management - Schedule appointments, confirmations, and manage the appointment calendar efficiently.
* Taking and processing new referrals.

Administrative Duties

* Managing client queries and concerns in collaboration with the Director.
* Assist with client resource preparation.
* Print therapist forms and worksheets.
* Archiving files.
* Management of client database.
* Reports formatting.
* Dealing with client complaints.

Account Management

* Inputting data into practice management software.
* Responsibility for client billing activity and queries.

Internal Workplace Health and Wellbeing

* Contribute towards a culture of OH&S through demonstrating commitment by way of personal example, leadership and participation in monitoring of established working practices.
* Collaborate with the therapy team to ensure a seamless client experience.
