Role overview

1. Business Administration - Service Delivery

• Manage the day to day operations of the Karratha clinic, including reception duties, client intake, appointment bookings, team

scheduling, and payments (NDIS, Private and Medicare)

• Act as the primary point of contact for community referrers and external contractors.

• Manage the client booking process for school, clinic and home visits.

• Manage feedback and address concerns and/or complaints and update the Feedback and Complaints Register.

• Provide office induction for all new staff members to the organisation.

• Ensure staff and client safety systems meet contemporary clinical standards and OSH requirements.

• Oversee fleet vehicles and facilities, including maintenance activities and asset management.

• Liaise with external stakeholders to ensure the effective running of collaborative group programs.

• Act as a resource and problem solver in the management of the clinic.

• Ensure effective and efficient budget management for office supplies and as required.

• Ensure risk management and emergency management strategies and systems are in place and tested.

• Management of the Connect Toolbox e-commerce store.

• Manage debt collection

2. Leadership

• Manage daily staffing to ensure optimal operations of the business administration team.

• Plan and coordinate administrative procedures and systems and provide leadership in the coordination of continuous quality

improvement initiatives within the clinic to support quality of care

• Monitor and maintain key business performance metrics

• Convene and lead team meetings, ensuring clear systems of accountability and communication.

• Ensure the smooth and adequate flow of information and actions within the company to facilitate other business operations.

• Participate in the development, promotion, evaluation and maintenance of business operations policies and procedures.

• Ensure operations adhere to policies and regulations.

3. Management

• Lead and develop the Business Administration team by providing regular supervision, performance management and mentoring.

• Participates and drives strategic and operational planning and implementation with regular reporting.

• Ensures the business administration team operates in accordance with the operational plan, within the allocated budget.

4. Administration

• Maintain and coordinate Client Management System software, including regular reporting and auditing.

• Organise physical and electronic filing of organisation and financial correspondence and information.

• Maintain own calendar and client database.

• Maintain client information in accordance with organisational, professional and the National Disability Insurance Scheme

requirements.

• Attend and participates in staff meetings.

• Maintain equipment and supplies including office consumables.

• Ensure compliance and staffing of First Aid Officers.

5. Education/Training

• Develop and deliver training for staff in relation to policies and standard operating procedures.

• Develop resources and processes for the use of other staff.

• Engage in continued professional development/education.

• Participate in performance planning and performance reviews

6. Other

• Perform duties in accordance with organisational Policies and Procedures.

• Perform duties in line with the National Disability Insurance Scheme Act 2013 (NDIS Act) and Disability Services Act (1993).

• Perform duties in line with the Company and National Disability Insurance Scheme’s Codes of Ethics.

• Perform duties in accordance with relevant Occupational Health and Safety and Equal Opportunity Legislation.

• Conduct duties in a manner that is ethical and promotes a positive image of Connect Paediatric Therapy Services.

• Perform other duties as directed.
