We are currently seeking a motivated and detail-oriented Workshop Operations Assistant to join our Maintenance team at our Brookvale Depot Workshop. This is a permanent full-time position on a fixed-term contract for 6 to 12 months, with the option for part-time work (35 hours per week).
About the Role:
As a Workshop Operations Assistant, you will provide essential administrative support to the maintenance team, ensuring management systems, databases, spreadsheets, and reports are maintained accurately and in a timely manner. You will play a key role in delivering up-to-date information to support staff management, maintenance operations, productivity measurement, and reporting requirements.
Key Responsibilities:
* Plan and organise workloads, schedules, rosters and reviewing priorities to meet deadlines in a busy workshop environment.
* Manage workshop rosters, including leave planning, training requirements, and business requirements to ensure accurate workforce coverage.
* Monitor daily attendance, reconcile time worked against rosters and workshop records, follow up on leave documentation, manage unplanned leave, and ensure accurate payroll data entry.
* Maintain accurate and timely data entry across management systems, including fleet and personnel records.
* Raise and manage purchase requisitions, ensuring accuracy and resolving discrepancies.
* Provide regional advice on STA and Keolis maintenance-related administrative procedures.
* Conduct site inductions for new employees and contractors, ensuring compliance with site safety policies and procedures.
* Collect and process operational documentation (e.g., signed work orders, changeover information, leave forms) to ensure complete and accurate reporting.
Skills and Attributes:
To be successful in this role, you will demonstrate:
* Minimum 2 years' administrative experience, preferably within a workshop or maintenance environment.
* Strong working knowledge of Microsoft Office, particularly Excel, Word, and database systems.
* Excellent administrative and clerical skills with high attention to detail and accuracy (experience in a trade or mechanical environment highly regarded).
* The ability to work independently with minimal supervision, manage competing priorities, and use initiative in a fast-paced environment.
* Well-developed organisational and planning skills, with the ability to manage multiple tasks efficiently.
* Strong data entry, computing, and word processing skills, including experience with spreadsheets and tailored management systems.
* Sound numeracy skills and the ability to interpret and manage operational data.
* Clear and professional written and verbal communication skills, with the confidence to engage with staff at all levels.
* The ability to build and maintain positive working relationships with internal and external stakeholders.
* An interest in trade or maintenance operations, or experience within a mechanical-based trade stream (desirable).
