We are a well-established Bunbury based financial planning practice seeking an experienced and highly organised Practice Coordination Officer to join our Team.
This key full‐time role supports one of our Financial Planners while ensuring Clients receive exceptional service, high‐quality advice support, and a seamless overall experience.

About the Role
As Practice Coordination Officer, you will act as the primary point of contact for Clients, as well as fostering collaborative internal Team relationships by overseeing the day‐to‐day coordination of administrative and Client service functions.
You'll work closely with senior management group helping keep operations running smoothly behind the scenes by ensuring advice processes are completed efficiently and professionally.
This is a hands‐on role that will involve a mix of administration, scheduling, communication and operational support.
Key Responsibilities
* Build and maintain Client rapport
* Manage one of the Financial Planner's calendar, appointments, workflow and tasking
* Coordinate all forms of meetings, travel and accommodation
* Assist with inbox and phone management
* Prepare file notes, supporting documentation, reports and correspondence
* Support day‐to‐day business operations
* Facilitate Client communications, meeting reminders, and follow‐up correspondence
* Coordinate with internal Team to gather Client information and documentation required for advice preparation
* Data entry associated with financial planning software
* Prepare invoicing forms and maintain Client records and file management systems
* General administration and organisational support
About You

* Strong written and verbal communication skills, with the ability to communicate with people at all levels
* Excellent attention to detail and data entry accuracy
* Strong interpersonal skills with a genuine Client focused approach
* The ability to prioritise tasks and work effectively within a team environment
* Proficiency in Microsoft Office Suite and general computer systems
* Previous industry experience will be highly regarded as would any prior involvement with Centrelink and the use of Xplan, Advisor Logic, and Class software packages.
This role is 100% office‐based with standard business hours; however, some flexibility may occasionally be required to accommodate Client meetings outside of regular hours.
