Role Purpose
The Programs & Operations Coordinator is responsible for the coordination, administration, and operational delivery of FNFD programs. This role ensures that programs are delivered on time, within budget, and in compliance with funding and reporting requirements.
The position is central to FNFD's operations, acting as the key link between:
* program delivery,
* reporting and compliance,
* partners and stakeholders, and
* the General Manager.
This is a coordination and systems role, not a facilitation or creative delivery role.
Key Responsibilities
1. Program Coordination & Delivery
* Coordinate FNFD programs, including:
* school programs (e.g. Trinity Bay),
* residency programs,
* modelling camps,
* community showcases and events,
* online national incubator programs.
* Develop and manage program timelines, schedules, and delivery plans.
* Coordinate logistics including venues, travel, accommodation, catering, and contractors.
* Ensure programs align with FNFD's Strategic Plan and agreed KPIs.
2. Reporting & Compliance
* Coordinate FNFD's reporting obligations under Creative Australia Schedule D.
* Collect and manage program data, attendance records, and KPI evidence.
* Prepare inputs for:
* Creative Australia Data Hub reporting,
* annual and financial reports,
* statistical and performance data.
* Work with the GM, accountant, and auditor to support accurate and timely acquittals.
* Maintain clear records to support audits and compliance reviews.
3. Operations & Administration
* Manage operational systems including contracts, invoices, and purchase orders.
* Track program budgets and expenditure in collaboration with the GM.
* Support payroll coordination and contractor payments.
* Maintain organised digital and physical filing systems.
* Provide administrative support to FNFD governance and Board processes as required.
4. Partnerships & Stakeholder Liaison
* Act as the primary operational contact for program partners, including:
* schools,
* funding partners,
* community organisations.
* Coordinate partner agreements, reporting inputs, and communications.
* Support the GM in maintaining positive stakeholder relationships.
5. Risk Management & Quality Control
* Monitor delivery risks, timelines, and dependencies.
* Flag issues early and propose practical solutions.
* Ensure duty of care, child safety, and cultural protocols are followed.
* Support culturally safe and respectful program environments.
Required Skills & Experience
Essential
* Demonstrated experience in program coordination, administration, or operations.
* Strong organisational and time-management skills.
* Experience working with budgets, reporting, and compliance requirements.
* High level of written and verbal communication skills.
* Ability to manage multiple projects concurrently.
* Strong attention to detail and systems thinking.
* Cultural capability and respect when working with First Nations communities.
Desirable
* Experience working in arts, culture, education, or community organisations.
* Familiarity with government or philanthropic grant reporting.
* Experience using online reporting platforms (e.g. Data Hub, CRM, spreadsheets).
* Experience supporting audits or financial acquittals.
Working Relationships
* Works closely with:
* General Manager (strategic oversight),
* Marketing, Community Engagement & Program Facilitator (delivery interface),
* Cultural Advisor (protocol and governance),
* external partners and service providers.
Key Performance Indicators (KPIs)
* Programs delivered on time and within scope.
* Reporting submitted accurately and on schedule.
* Clean acquittals and audit outcomes.
* Effective coordination of partners and contractors.
