Administration Assistant – Operations & Customer Support

Olympia Massage Chairs is one of Australia's most established luxury wellness brands. We design and deliver premium massage chairs that elevate homes and support healthier living. We're looking for a sharp, organised professional to join our Operations Team at our Nerang HQ.

Position Summary

This role supports daily operations across customer communication, delivery coordination, scheduling, order processing, and system administration. You'll be a key point of contact ensuring accurate communication, efficient scheduling, and up-to-date records across multiple platforms.

Key Responsibilities

* Act as first point of contact for phone, email, and SMS enquiries
* Manage inbound calls, return missed calls, and respond to customer and internal queries
* Process orders and delivery tickets, including booking and scheduling
* Liaise with customers to confirm and adjust delivery timeframes
* Manage and optimise delivery schedules within system capacity
* Upload and maintain scheduling data across platforms
* Generate shipping labels (Mainfreight and Australia Post)
* Ensure accurate documentation and tracking for all orders
* Assist with returns, exchanges, and inventory updates
* Close and reconcile daily delivery runs
* Maintain accuracy across inventory, orders, and delivery systems
* Provide general administrative support to daily operations

Key Skills & Attributes

* Strong attention to detail and accuracy
* Excellent communication skills across phone, email, and SMS
* Ability to manage multiple systems and priorities
* Strong organisational and time management skills
* Customer focused with a proactive approach
* Experience with CRM or logistics systems (e.g. HubSpot, Unleashed, Zuper) preferred but not essential, full training provided
