Primary responsibilities of the EA include executive assistant support for the CIO / Head of APAC Real Estate, back up t the office manager and general administrative office staff as needed. The role involves working closely with the CIO / Head of APAC Real Estate to provide detailed calendar, meeting arrangement and minutes, travel and expense support. This role will have close interaction with directors of APAC Real Estate boards, investment and other committees in the discharge of their duties, ensuring decisions taken.
Key responsibilities will include:
- Acting as a point of contact, dealing with correspondence for the CIO, including managing diaries and and organising meetings
- Maintain a comprehensive filing system to keep up to date records of all key documents and agreements.
- Attend investment and board meetings, take minutes and assign actions from the meetings
- Organisation of CIO travel arrangements, including itinerary, liaison with clients on meetings, setting up venues where necessary. May provide travel support to other members of the Real Estate team as needed.
- Scheduling conference calls and video conferences, circulating materials and dial-in details.
- Supporting / arranging the schedule of internal / external meetings for CIO and other Real Estate staff.
- Typing, compiling and preparation of reports, presentations, letters, minutes of meetings and correspondence.
- Working on the expense and claim submission process, plus logging of meals, gifts and entertainment CIO and other senior staff as needed.
- Coordinating the itinerary / schedule for global colleague visitors & clients where necessary
- Back up and support the Sydney office manager as needed.
Technical Skills & Qualifications Required
Proficient in the use of Outlook, PowerPoint, Microsoft Word and Excel.
Minimum 5 years experience in an administrative support capacity, preferably in Real Estate, Asset Management or a financial industry.
- Previous minute writing experience or exposure to analysing and recording technical matters.
Competencies Required
- Ability to analyse complex situations and identify appropriate action
- Ability to work independently with mínimal supervision
- Strong communication, organization and project management skills
- Excellent English communication skills; bilingual skills in Japanese, Korean or Chinese
