Job Description
The Administration Assistant at headspace Gympie plays a vital role in creating an environment where young people feel safe, welcomed, and confident to seek help. This role is the first point of contact and supports smooth, professional, and welcoming operations for the centre. You will provide reception and administrative support across the service, ensuring the centre is experienced as calm, organised, confidential and youth‐friendly.
Administration & Reception
* Welcome young people, families and visitors in a respectful, supportive manner
* Manage reception, phone and appointment bookings
* Support MBS billing and associated administrative processes
* Maintain calendars, databases, records, scanning and filing
* Prepare resources, manage mail, stationery and office supplies
* Support meetings through scheduling, minute‐taking and follow‐up
* Assist with facilities coordination, maintenance and general housekeeping
* Ensure client confidentiality and accurate record keeping at all times

Desired Skills and Experience
You're organised, calm and people‐focused. You understand that administration in a youth mental health setting is about creating a sense of safety, trust and reliability.
You Will Bring
* Qualifications and or minimum 3 years' experience in administration or reception, ideally in health, community or medical settings
* Strong communication and customer service skills
* Excellent organisation, attention to detail and ability to juggle priorities
* Confidence using Microsoft Office and learning new systems
* Experience with or ability to quickly learn MBS billing processes
* A warm, respectful and youth‐friendly approach
Essential Requirements
* Current C‐Class driver's licence
* Current Working With Children Check (Blue Card or equivalent)
* Licensed Care Suitability Check (or eligibility to apply)
Desirable
* Certificate IV in Health Administration or Business Support
* Experience in medical or allied health administration
