About the role
The Program Support Officer - (Good Food People) provides high-quality administrative support to the Nutrition & Health team with a particular focus on financial and performance reporting compliance in the Good Food People grant funding. Reporting to the Nutrition & Health Manager, this role requires a proactive, highly organised multi?tasker with a strong commitment to continuous improvement. The position works closely with finance and payroll teams to ensure Nutrition & Health team grant-funded functions are well supported across the organisation. Operating within a collaborative, cross?cultural team environment, this role is based in the Cairns Support Office and contributes to building a strong community based First Nations nutrition workforce and creating healthy store environments in CEQ?s IBIS and ABIS stores.
Partnering with a cross-cultural, geographically dispersed team from Cairns to Cape York Peninsula, Gulf of Carpentaria, North Queensland and the Torres Strait Islands, the Program Support Officer contributes to fostering a positive, efficient, and people?centered workplace culture and will work in alignment with the CEQ vision and values and playing an integral role in ensuring the ongoing success and reputation of CEQ as an employer of choice.
Qualifications & Experience
* Hold or working towards a qualification in Accounts Administration or Business Administration, or other qualification as approved at the discretion of the Nutrition & Health Manager.
* Previous experience working in a similar role with a high degree of administrative functions preferred.
* Familiarity with financial accounts and payroll systems desirable but not essential.
* Previous experience working in a large and complex business desirable, but not essential.
Software & Systems Experience
* Intermediate to advanced level of competency using the Microsoft Office Suite (Word, Excel, PowerPoint, Teams).
* Knowledge of file sharing applications such as OneDrive and SharePoint will be highly regarded.
* Experience with graphic design platforms, particularly Canva, is desirable.
* Experience with using HRIS systems such as ActionHRM, desirable but not essential.
* Experience with Pronto, desirable but not essential.
* Experience using payroll or time?and?attendance systems, particularly Humanforce, will be highly regarded.
Team
* Work as part of the Nutrition & Health team within the Office of the CEO to provide performance and financial reporting support for the National Indigenous Australians Agency (NIAA) funded Good Food People program and provide administrative support to the Nutrition & Health Manager.
* Ability to work in a cross-cultural team environment and provide peer support to other team members.
* Build and foster collegial relationships across all teams in the business to ensure high team member engagement, productivity and the success of CEQ.
Digital
Developing competency in the ethical use of AI technologies where appropriate and approved by the Nutrition & Health Manager.
Key duties and responsibilities include but are not limited to:
Finance Support
* Prepare, maintain, and update excel spreadsheets to support financial tracking, budgeting, and reporting activities, ensuring accuracy and compliance with organisational and grant requirements for the Nutrition & Health programs.
* Monitor & support compliance with grant funding requirements by maintaining accurate records and contributing to reporting and acquittal processes.
* Coordinate purchase order processes by sourcing quotes, raising purchase orders, receipting goods, and requesting invoices.
Administration Support
* Provide administration support for the planning, implementation and reporting of the First Nations Good Food People (Nutrition Workforce) program
* Provide administration support for meetings, including scheduling, agenda preparation, and minute?taking as required.
* Provide administrative support for the creation and editing of presentations, health promotion materials, and internal and external communications. (i.e. CEQ newsletter, social media posts, CEQ Nutrition & Health website, Viva Engage, Pulse).
* Provide administration support to ensure monthly internal nutrition reporting is completed accurately and within required timeframes.
* Maintain accurate and up?to?date performance and financial reporting records to support contract compliance in grant funding and key performance indicators (e.g. First Nations employment and hours worked, training completion and participant satisfaction) under the guidance of the Nutrition & Health team.
* Arrange travel and accommodation for the team following established procedures.
* Oversee and monitor inventory of training materials and resources including version control management.
* Monitor and coordinate the procurement of uniforms, printing, and merchandise for the Good Food People and Nutrition & Health programs.
* Support collection of Nutrition & Health team store audit information as required
* Identify and implement continuous improvements to administrative processes, including the review and update of grant reporting procedures for the Nutrition & Health Team
* Build and maintain effective working relationships across teams, with a focus on collaboration with Payroll and Operations to ensure the Good Food People program and associated funding are administered effectively.
* Reporting of any WH&S concerns as they arise, to ensure employee safety and a safe workplace.
* Other reasonable duties as requested by Nutrition & Health Manager or the CEO.
Essential Requirements
* Intermediate to advanced skills in the Microsoft Office Suite.
* Excellent attention to detail with very good organisational, numerical, verbal, and written communication skills
* Experience in administration or program support.
* Experience or knowledge of working as part of a cross-cultural team
* Experience in using graphic design programs such as Canva.
* Ability to adapt to changing priorities within the team
* Ability to form open and honest relationships
* Current Criminal History check - no more than 3 months old.
