Primary objective
To provide administrative and project services to the Governance, Policy and Operational Support Unit to ensure actions are efficiently organised, coordinated and monitored. This includes the dissemination of project materials and documents associated with the development and review of policies.
Context statement
The position supports work unit, Division and agency-wide responses to emerging needs, contributes to ad-hoc and planned performance reporting, and provides Secretariat assistance across multiple agency committees to ensure the achievement of governance, strategic and operational requirements.
Key duties and responsibilities
* Provide high-level support and coordinate reporting requirements on work unit projects.
* Provide Secretariat services to support the agency's governance committee structure.
* Prepare reporting templates, reports, schedule meetings and take minutes.
* Coordinate agency-wide responses to jurisdictional requests from the Corrective Services Administrators' Council.
* Monitor and maintain policy and project registers to meet governance and reporting obligations.
* Monitor the generic policy email account and provide responses to queries or coordinate responses across the agency.
* Organise, coordinate, and attend key meetings for the purposes of managing reporting obligations for working groups.
Selection criteria
Essential
* Well-developed written and oral communication skills with the ability to liaise with staff and stakeholders at all levels.
* High level of attention to detail to maintain high standards of accuracy in document review and formatting.
* Ability to work with minimal supervision, use initiative and manage own priorities to deliver on outcomes.
* Sound organisational skills with the ability to manage own priorities and contribute to, and work as, part of a small team.
* Adaptable and resilient, with the ability to adjust to changing priorities and difficult situations in a calm manner.
* Well-developed computer literacy skills to use a range of IT software, web-based technologies, computerised reporting systems, document management systems and mainframe packages.
Desirable
* Experience in using NTG systems to deliver high-quality administrative support
* A broad knowledge of the structure and functions of the Department of Corrections.
