Background information / Compatibility requirementsOur government client delivers very complex, high value ICT programs for core frontline services.Scope of WorkThe project administrator will provide high quality administration and support to the Implementation Director of an ICT Health System Transformation Program including diary management, project status reporting, workshops, stakeholder management, tracking of milestones, issues and risk management.DeliverablesClient and stakeholder satisfactionReliable, high-quality support for the teamKey Duties & ResponsibilitiesProvide efficient and effective administration support to the Implementation Director to support the deliverables, tasks and activities required of the business readiness and transition team. This includes supporting the training, change management, communications and transition teams.Support the Implementation Director by taking minutes and coordinating workshops and meetings and collating meeting packs.Support the Implementation Director by extracting reports from JIRA and following up with project team members on the status of activities.Assist with task allocation and oversight of entry level administrative staff within the program, providing mentoring when required.Participate as a proactive member of the team contributing innovative ideas and solutions to all aspects of the business to ensure the program and project teams within are supported by an efficient and effective administration service.Undertake continuous quality improvement through regular evaluations of administrative tasks an updating or developing user guidance materials to ensure efficient and effective services are provided.Assist other project leads as required in the planning and coordination of project related activities such as requirements and design workshops including preparing documentation, organising facilities, resources and stakeholders and assisting with execution.Be an active member of the team by providing support to key project team members during busy project schedules and activities.Performing the secretariat role for workshops, meetings and committees as required.Essential Skills and ExperienceDemonstrated project/program experience in an administrative project coordination role or similar including experience in developing and maintaining process documentation and reporting on project statuses and activity.Proven high level oral, written and interpersonal communication skills, with the ability to communicate and negotiate effectively with team members and internal and external stakeholders.Demonstrated high level organisational and coordination skills with a diligent, energetic and positive approach and the ability to work autonomously, under pressure and meet deadlines, use initiative, prioritise workloads and maintain flexibility.Demonstrated experience working in a collaborative, team orientated environment with high priority deliverables.Solid experience in using software packages including MS Office Suite, with ability to quickly acquire skills in JIRA and SharePoint and other software systems.Desired Skills and ExperienceFormal Qualification in (or working towards) Business Administration, Project Management or equivalent experience.Experience in the Health or Information Technology industries (IT).Personal Qualities required of Candidate:High level social and written skills with the ability to effectively communicate with team members and stakeholders, including ability to translate complex analytical and technical information into clear and meaningful terms.Ability to work in a small team environment with members of diverse cultures and backgrounds and differing skill sets.Self-starter with high personal drive and a positive attitude.Disciplined and accountable for supporting and maintaining work outputs.Behaves in a respectful and professional manner, always maintaining high integrity and transparency.Good problem solver and critical thinker.Promotes strong teamwork and collaboration by engaging stakeholders and team members in a favorable light.Services Personnel are also expected to abide (and confirm they will) by the DCDD Corporate Values of Honesty, Professional, Respectful, Accountable and Innovative.
