Travel Operations Specialist -Japanese and English Speaking

We are looking for a highly organised, fast-typing and detail-driven Operations Specialist who is fluent in both Japanese and English to join our friendly and experienced team at our Narrabeen Head Office.
This is a hands-on role at the heart of our Japan walking programs, working closely with suppliers in Japan and our in-house reservations and operations team to ensure every tour runs seamlessly.
About the Role
As our Operations Specialist for Japan, you will be responsible for the behind-the-scenes coordination that makes our group walks exceptional. Your role will include:
• Liaising with Japanese suppliers in both written and spoken Japanese
• Preparing and managing detailed rooming lists for group departures
• Booking accommodation, activities, local guides and vehicles for our Japan tours
• Managing last-minute changes, bookings and cancellations with confidence and efficiency
• Checking, approving and processing supplier invoices accurately
• Working closely with our in-house reservations and operations team to support tour delivery
• Maintaining clear, organised records and timelines across multiple departures
About You
You are calm under pressure, incredibly organised and take pride in getting the details right. You enjoy working at pace and juggling multiple tasks, and you communicate clearly and professionally.
You will bring:
• Fluent Japanese and English, both written and spoken
• Fast and accurate typing skills
• Exceptional organisational and time-management skills
• Strong attention to detail and accuracy
• Confidence communicating with international suppliers
• The ability to adapt quickly to changes and solve problems calmly
• Experience in operations, travel, logistics or administration is highly regarded
