About the RoleHUPO is a growing performance and wellbeing business based in Burleigh Waters, led by co-founders who have worked together for over 20 years in both life and business.We are seeking a highly experienced Executive Assistant to support the CEO and help create the structure, clarity, and operational rhythm that enables the business to scale sustainably.This is a senior, career EA role. You will act as a trusted partner to the CEO, owning systems, communication, logistics, and execution across the business. The purpose of this role is to protect the CEO's time and energy so she can focus on strategic growth rather than day-to-day operational demands.This is not a junior or purely administrative position. It is suited to someone who thrives on ownership, pace, autonomy, and impact.What Success Looks LikeWithin the first 3–6 months:The CEO feels increasingly supported and less mentally stretchedOperational tasks and recurring workflows are handled proactively without prompting1:1 sessions, workshops, and key engagements are consistently prepared in advanceClear systems begin to emerge where processes previously lived in the CEO's headThe EA is confidently making day-to-day operational decisions within agreed frameworksFewer tasks and questions bounce back to the CEOSuccess in this role is measured by leverage, structure, and flow.Key ResponsibilitiesCEO Support & LeverageProactively manage and triage multiple inboxes across the CEO and business brandsOwn calendar management, scheduling, travel, and commitmentsPrepare agendas, briefs, and follow-ups to ensure meetings are effectiveAct as a central coordination point across the business on behalf of the CEOCoach & Client EnablementCoordinate onboarding for 1:1 clients (questionnaires, assessments, program logistics)Manage scheduling and bookings across program durationsCoordinate logistics for workshops, retreats, and key engagements (venues, travel, materials, printing, schedules)Support client experience before, during, and after engagementsSystems, Operations & ImprovementCapture, document, and refine operational processesIdentify opportunities to streamline workflows and reduce frictionIntroduce and trial smarter tools, including AI and automationSupport project management initiatives as the business growsCommunication & Office CoordinationEdit and proofread written communications to a high professional standardCoordinate internal meeting notes and action itemsLiaise with accounts regarding invoices, receipts, and expense managementProvide operational support as required to ensure smooth business functioningRequirementsWe are seeking an experienced Executive Assistant who takes genuine pride in operating at a high level.You will bring:Proven experience supporting a CEO, founder, or senior executiveStrong systems thinking and ability to document and improve processesExceptional organisational and prioritisation skillsOutstanding written and verbal communication skillsHigh discretion, integrity, and professionalismConfidence working autonomously and making sound decisionsYou are someone who:Thrives in fast-moving environmentsEnjoys building structure where it doesn't yet existAnticipates needs before they are expressedTakes ownership and follows throughIs tech-confident and curious about AI and smarter toolsBrings energy, resilience, and strong work ethicThis role is not suited to someone looking to slow down or keep things ticking over.
