The Rockhampton Grammar School is seeking to employ an Administration Assistant to work in our Primary School Office.

The ideal candidate to fill this position should have outstanding interpersonal and communication skills, with demonstrated ability to build rapport and interact effectively with students and school staff.

ABOUT THE ROLE
The Primary School Administration Assistant is required to deliver friendly, efficient customer service and create a warm and welcoming atmosphere for our school community. As The Rockhampton Grammar School’s primary administration assistant, you will work in a culture built around success providing exemplary service to staff, students, parents, families, and school stakeholders.
The role sits with the School’s Primary Department, which emphasises care, concern, and commitment to all who enter our School. Similarly, the incumbent will reflect the School’s physical presentation and branding and will be aligned with the School’s values. The Administration Assistant is required to uphold and maintain a high level of confidentiality and discernment in the undertaking of their role.
The Primary School Administration Assistant is responsible for providing support to the Head of Primary for all day-to-day activities and is expected to work collaboratively with all members of the Primary Leadership Team to produce a positive and harmonious team environment.
Duties will include (but is not limited to):
* Greet and welcome guests as soon as they arrive at the office.
* Direct visitors to the appropriate person while managing sign-in process for visitors to the School.
* Answer, screen, and forward incoming phone calls and prepare and distribute communications to staff and parents.
* Manage students’ absence information collection and distribution.
* Liaise with RGS staff and trouble shoot issues.
* Coordinate volunteer and visitor registrations and their associated processes.
* Manage front desk enquiries, word processing, data entry, report generation, database management, photocopying, filing and other general administrative tasks.
* Provide initial student wellbeing support through basic first aid and medication administration in accordance with training and school policies.
* Provide essential support to the Head of Primary by:
o Undertaking administrative tasks as required by the Primary Leadership Team
o Supporting teacher relief and managing staff leave paperwork
o Managing and coordinating the Head of Primary’s appointments and calendar entries
o Coordinating Formal Assemblies and Primary School events
o Any other duties as directed by the Head of Primary School

REQUIRED SKILLS/KNOWLEDGE AND EXPERIENCE
* Administration experience of equivalent qualifications
* Previous experience working in an independent school setting or similar background
* Proficient in the use of the Microsoft Office Suite
* Proficient in the use of TASS school information system
* Demonstrated understanding of general financial procedures and independent school culture
* Excellent customer service
* Excellent oral and written communications
* Interpersonal skills that portray a welcoming atmosphere, friendly disposition, and helpful nature
* Professional attitude and appearance
* Ability to be flexible and responsive to changing demands

CONDITIONS OF EMPLOYMENT
The successful applicant will be subject to a “Working with Children Check and Criminal Records Check” where applicable. The School undertakes several screening processes to ensure the appropriate protection of children and young people in its care. This includes reference checks, identity checks, qualification check and professional registration checks.
