Senior executive support and correspondence officer, queensland health

We're looking for someone who enjoys working in a dynamic environment where no two days are the same. To be suited to this role you will be exceptional at organising yourself to manage a wide range of tasks, making sure they are completed on time with minimal oversight and a positive attitude. Our ideal person is experienced in supporting executive leaders and understands this kind of unique working relationship. They can adapt to the needs and style of the executive, using their excellent communication skills, initiative, and highly developed emotional intelligence. As an experienced executive support professional, you will know how important it is to make sure we are the right fit to work together. To help determine this, preferred applicants will be invited to a second interview with the Executive Director.

What you'll do

* Work with a high degree of autonomy, make informed decisions and achieve results, including the ability to proactively identify, analyse, provide strategic advice and resolve issues, plan, prioritise, delegate and meet frequently changing and competing deadlines in a flexible manner.
* Organise, manage and provide confidential, executive and secretarial support to the Executive Director, including the compiling of timely high-quality documents, enquiry screening, diary management, itineraries and booking of approved executive travel.
* Consult, negotiate and maintain effective working relationships with senior executives, staff and stakeholders in the public and private sectors to achieve required outcomes.
* Using discretion, autonomously respond to or redirect matters on behalf of the Executive Director within defined boundaries.
* Organise meetings and events for the Executive Director including negotiation with colleagues to schedule time in attendee diaries; and booking of rooms, equipment, catering and car parking for external attendees.
* Coordinate research, and prepare high level documents, reports, submissions, briefing notes and correspondence on a range of complex and confidential issues as required in consultation with the Director, Office of the Executive Director and the Executive Director including reviewing departmental briefs for accuracy.

About you

We are searching for someone who has:

* Proven ability and experience in effectively managing and prioritising the administrative functions and associated activities for Executive staff including the ability to initiate, determine and follow-up work priorities within mandated and tight
* Excellent communication and interpersonal skills, with demonstrated capacity to liaise, mediate and negotiate with all levels of staff and with a range of internal and external stakeholders in a sensitive and confidential manner.
* Advanced knowledge and demonstrated proficiency in contemporary computer software applications, including Microsoft Office, Email and Calendar Applications MS Outlook and Internet Applications. Advanced knowledge of or ability to rapidly acquire knowledge of Queensland Health computer software applications, including Content Manager.
* Proven ability to utilise a high degree of initiative, decision making skills and negotiation skills and reliability in operating independently with minimal guidance and direction when discharging duties as the ESO.
