What You Will Be Doing
In this role, you will provide executive assistance and high-level administrative support to management within the Program Support team. You will utilise a broad range of computer software programs, information management systems, and databases while ensuring compliance with organisational policies, procedures, and governance obligations.
Key Responsibilities Include
* Providing high-level executive support, including diary and email management, coordinating meetings, meeting papers, and travel arrangements.
* Assisting with the coordination of Ministerial briefs, discussion papers, and local government correspondence.
* Liaising with officers across the department, other government agencies, educational institutions, the private sector, and community representatives.
* Coordinating and supporting administrative operations through minute-taking, report collation, correspondence tracking, records management, and database administration.
* Coordinating travel, reconciling financial transactions (including corporate credit card payments) and supporting fleet management.
* Supporting program and project events, including venue bookings, catering, and logistics.
* Assisting with procurement documentation and tender support activities in line with governance requirements.
* Ensuring compliance with WH&S legislation, departmental policies, and performance standards.
* Assisting with the development of local work practices to meet project office needs.
What You Will Need
* Current C-Class Drivers Licence
* Ability to complete a Criminal History Check
* Proven experience providing high-level executive or administrative support
* Strong capability in diary, email, document and records management
* Proficiency with computer software, information management systems, and databases
* Well-developed written and verbal communication skills
* Strong analytical and problem-solving skills
* Ability to manage competing priorities and deadlines
* Experience supporting procurement or contract documentation (desirable)
