MineMend operates across the Bowen Basin delivering large-scale mine rehabilitation outcomes using modern equipment, drone technology, and disciplined operational systems.
We are seeking a Senior Administration Coordinator to provide structured, high-level support to the Director and Operations Manager.
This role strengthens internal systems, maintains compliance discipline, and ensures operational clarity across multiple sites and Tier 1 mining clients.
This is a full-time, primarily office-based role located at 9 King Street, Emerald (CH Colab Facility).

The Purpose of This Role
This is a senior coordination role designed to:
• Provide reliable, structured support to leadership
• Maintain high standards across onboarding and compliance systems
• Strengthen financial visibility and documentation discipline
• Ensure operational readiness across multiple projects

The Role
MineMend operates with clear systems, routines, and accountability. The structure of this role is consistent and process-driven.
While client systems and compliance platforms may vary, internal expectations remain constant: accuracy, organisation, and disciplined execution.
Your work will include:
• Onboarding MineMend into new contractor management systems and minesite portals
• Managing and maintaining site compliance systems, including Intellics (BMA and Whitehaven)
• Coordinating onboarding requirements across major clients (BMA, Glencore, Whitehaven, Ensham, Sojitz and associated contractors)
• Maintaining compliance documentation for personnel and machinery
• Supporting project invoicing and financial tracking
• Preparing and coordinating structured internal meetings
• Assisting with recruitment campaigns and documentation development
This role requires calm execution within a compliance-heavy mining environment and the ability to manage multiple contractor platforms with accuracy and consistency.

Key Responsibilities
Systems & Documentation
• Maintain structured documentation through SharePoint
• Support implementation and optimisation of Varicon project software
• Refine and document internal workflows
• Ensure onboarding and compliance records are complete and audit-ready
Financial Coordination
Using QuickBooks Online and Varicon:
• Prepare project claim invoices
• Review supplier payments
• Monitor receivables
• Assist leadership with cost tracking and financial visibility
Operational Support
• Coordinate onboarding across multiple minesite systems
• Manage Intellics compliance requirements for BMA and Whitehaven
• Prepare and document internal operational meetings
• Support daily review rhythms and purchasing coordination
• Assist with maintenance scheduling and accommodation logistics
Recruitment Support
• Assist with structured hiring processes
• Draft and refine job advertisements
• Canva experience highly regarded (not essential)

• 95%+ task accuracy
• 95%+ on-time task completion
• Zero compliance oversights due to administrative error
• Effective preparation for Tuesday "Rough-In" and Thursday "Lock-In" operational meetings
• Clear communication supporting operational readiness

Skills & Experience
• Minimum 4 years' experience in administration or coordination
• Strong proficiency in:
* QuickBooks Online
* Microsoft Office Suite
* Outlook calendar management
* SharePoint Online
* Project management systems (Varicon highly regarded)
• Experience using Intellics or similar contractor compliance systems highly regarded
• Strong organisational discipline
• Excellent written and verbal communication
• High numerical confidence
• Experience within mining, civil, construction, or compliance-heavy industries highly regarded
