About the Administration Officer Position
You'll be supporting the Manager and other staff with the day-to-day running of the Neighbourhood House. You'll be welcoming people to the House and responding to queries both face-to-face and over the phone, as well as assisting with administrative tasks such as accurately updating electronic business systems and managing petty cash. And you'll be promoting the vision of the Neighbourhood House by communicating its events and activities to the community and encouraging people's participation – managing comms streams and creating new communication channels to reach wide audiences.
You'll be based at our Dunalley Office. Your basic work schedule will be 9am -3pm, four days a week (Monday-Thursday) – with some flexibility in working hours from time to time to meet organisational and community needs.
Pay and conditions: The position is 22 hours a week at Social, Community, Home Care and Disability Services (SCHADS) Industry Award 2010, Grade 3, Level 3. The position is funded by the Tasmanian State Government and is ongoing subject to funding and needs.
About you
You will be a friendly, patient, respectful and kind first point of contact for the House. Your work will require good communication skills and flexibility when dealing with members of the community and other organisations. You'll need to be able to work closely with other staff, committee members and volunteers working for the Neighbourhood House. You need good attention to detail, high levels of media and communication skills, as well as a person-centred approach to the work you do.
Selection Criteria
* Develop and maintain efficient office systems including organisational record-keeping, data collection, membership management, and employee, Board and volunteer commencement support.
* Provide warm and effective reception services at our Dunalley Office.
* Provide support to the Manager including data entry, document management, meeting scheduling, minute taking and cash management and reporting.
* Monitor and respond to DTNH's organisational email box, effectively and professionally representing the organisation, including managing weekly mail-chimp electronic newsletters.
* Monitor and facilitate the scheduled maintenance and compliance (testing licences, certifications) of DTNH's staff, volunteers, facilities and equipment.
* Utilise technology platforms, including social media and DTNH's website, to strengthen the organisation's operations and digital profile.
Essential requirements
* Minimum of a Cert III Business Administration (or equivalent) and demonstrated administration/ customer service experience, preferably with a not-for-profit.
* A minimum of 3-5 years of administration and customer service experience is required.
* Good media and communication skills, including proficiency in using social media platforms for professional and organisational outcomes.
* Ability to work within a community-based setting and relate and communicate effectively with a diverse range of people including community members, staff, volunteers, managers and other stakeholders.
* Intermediate level of Microsoft Office skills, including Excel proficiency.
* A Current Driver's License
* Working with Vulnerable People card must be obtained before starting employment.
Skills and Attributes
* Experience developing and working on communication strategies.
* Proven skills in writing for different audiences.
* A good eye for design (experience with Canva preferred).
* Attention to detail.
* Proactive & enthusiastic in approach to work.
* Experience in administration and office management, including data management.
MAIN RESPONSIBILITIES
Communicating across broad audiences
* Create and execute communications plans to reach target community audiences and create engagement in activities and services provided by DTNH.
* Collaborate with our team (at our two main sites) to ensure consistent messaging and accurate information across the organisation.
* Develop content, including online news and social media content.
* Maintain a website.
* Create and maintain electronic databases and e-news content.
Digital skills
* Propose innovative approaches to reach new engagement.
* Enhance DTNH's digital presence through website content and direct communications with community via social media.
* Create striking, clear and engaging publications and promotions of activities, services and events (mainly through Canva)
Strategic thinking
* Regularly monitor and evaluate communications.
* Put forward innovative ideas that leverage digital communication trends.
* Put forward ways to improve administration processes and create strong systems.
Collaborative skills
* Collaborate across the team, ensuring flow of information, booking systems and templates to support program development and monitoring/booking, and consistent and accurate information (internally and externally) about our activities.
Systems and Administration
· Create and maintain data systems, records, and administration support for the smooth flow of day-to-day processes at the Neighbourhood House; including cash and cash receipts, member database, inductions and volunteer processes, renewal of licences and certifications, minute taking and email management.
Employment is subject to a satisfactory National Police Check, Working with Vulnerable People registration and work rights in Australia.
