Magnolia House Psychology and Therapies Centre is a well-established mental health practice dedicated to providing quality psychological services to our community. We operate two busy clinics - one in Toowoomba and one in Brisbane - with over 40 team members from diverse professional backgrounds including psychologists, social workers, occupational therapists, counsellors, art therapists, play therapists, hypnotherapists, and many other specialised services.

Our practice serves a broad range of clients, including those involved with the family court, children's court, criminal justice system, and other disadvantaged communities. The Role

We are seeking an experienced and motivated Practice Manager to join our busy team and oversee the day-to-day operations of our Toowoomba clinic. You will work alongside another Practice Manager who oversees our Brisbane clinic and report directly to the Director of the company.

This is a highly diverse role where no two days are the same - you'll be managing everything from routine appointments to complex court-related matters, coordinating between multiple therapy disciplines, and ensuring our diverse client base receives exceptional service. This is an excellent opportunity for someone passionate about mental health services to make a meaningful impact in a thriving multi-site practice that serves some of our community's most vulnerable populations.

Key Responsibilities

- Practice Operations: Oversee daily clinic operations, ensuring smooth workflow and efficient service delivery across multiple therapy disciplines

- Staff Management: Coordinate schedules for psychologists, social workers, occupational therapists, counsellors, and other specialists; manage roster planning and team communications

- Client Services: Manage appointment scheduling for diverse client needs, handle enquiries, and maintain excellent customer service standards for all community members

- Financial Administration: Handle billing processes, Medicare/private health insurance claims, fee management, and basic financial reporting

- Compliance & Quality: Ensure adherence to professional standards, privacy requirements, regulatory compliance, and court-related documentation requirements

- Administration: Maintain client records, manage correspondence including court reports and legal documentation, and oversee general administrative tasks

- Business Development: Support practice growth initiatives and maintain relationships with referral sources including legal, government, and community services

Essential Requirements

- Previous experience in healthcare administration or practice management (psychology/medical practice preferred)

- Strong understanding of Medicare, DVA, WorkCover, AHPRA, private health insurance, and NDIS processes

- Excellent organisational and time management skills

- Proficient computer skills including practice management software and Microsoft Office suite

- Outstanding communication and interpersonal abilities

- High level of discretion and understanding of confidentiality requirements

- Ability to work autonomously and manage multiple priorities

- Flexibility to work extended hours including some Saturdays as required

- Adaptability to work outside standard 9-5 business hours to meet clinic operational needs

Desirable Qualifications

- Experience with Halaxy practice management system (training provided if needed)

- Experience with Xero accounting software (training provided if needed)

- Knowledge of mental health sector regulations and professional standards

- Previous supervisory or team leadership experience
