Your new role

As the Receptionist / Administration Assistant, you will be the first point of contact for clients and visitors, delivering exceptional customer service and ensuring a professional and welcoming environment. This role involves managing front desk operations, handling incoming calls and correspondence, and providing comprehensive administrative support across the business.

Your responsibilities will include:

* Acting as the first point of contact for clients and visitors, delivering a professional and welcoming experience.

* Answering and redirecting incoming calls promptly and accurately.

* Managing reception operations, including maintaining a clean and organized front desk area.

* Coordinating meeting room bookings, set-up, and ensuring rooms are prepared for visitors.

* Handling incoming and outgoing mail, couriers, and deliveries.

* Maintaining office supplies and amenities, including ordering stock and managing inventory.

* Providing administrative support across departments, including document preparation, data entry, and filing.

* Assisting with scheduling, calendar management, and internal communications.

* Managing petty cash and processing receipts in line with company procedures.

* Supporting event coordination, including invitations, RSVPs, and logistics.

* Ensuring compliance with company policies and Work Health & Safety requirements.

* Updating and maintaining telephone lists, reception manuals, and internal records.

* Liaising with suppliers, trades, and service providers as required.

What you'll need to succeed

To be considered for this role, you will meet the following criteria:

* Proven experience in a receptionist or administration support role within a professional environment.

* Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel and Teams) and the ability to learn new systems quickly.

* Excellent communication and interpersonal skills, with a professional and welcoming manner.

* High level of organisational skills and attention to detail, with the ability to manage multiple tasks simultaneously.

* Ability to work independently and as part of a team, demonstrating initiative and problem-solving skills.

* Strong time management skills and the ability to prioritise effectively in a fast-paced environment.

* A proactive approach to maintaining office operations and supporting internal stakeholders.

* Commitment to delivering exceptional customer service and representing the business professionally.

* Flexibility to adapt to changing priorities and assist across departments when required.
