Position Title: Administration & Bookings Coordinator

Employment Type: Permanent Part-Time hours/week, Monday to Friday)

Location: Coolum Beach, Sunshine Coast QLD

Reports to: Event Director

Start Date: Immediate

About the Role

Do you love bringing order to chaos and making things run smoothly behind the scenes? Are you a people person who's just as happy chatting with market stallholders as you are filing invoices or juggling calendars? If so, we want to meet you

We're on the lookout for a super-organised, upbeat, and tech-savvy Administration & Bookings Coordinator to help keep our community events running like clockwork. You'll be the go-to person for managing bookings, talking with our wonderful vendors and suppliers, keeping our office humming, and making sure our team is in the right place at the right time.

This is a permanent part-time role based at our Coolum Beach HQ, with flexible hours and the potential for more as our event calendar heats up.

What You'll Be Doing

* Being the first point of contact for phone and email enquiries — you'll make a great impression with your friendly, helpful style.
* Managing bookings through our market booking software (we'll show you the ropes).
* Keeping calendars, event schedules, and deadlines up to date and under control.
* Assisting with staff and volunteer rosters and helping everyone stay in sync.
* Keeping the office running — think supplies, filing, data entry, and general admin wizardry.
* Filing invoices and assisting with basic financial tasks (bonus points if you've used Xero).
* Supporting the events team with anything they need to make our events sparkle.
* Option for additional weekend hours for on-site events support

What We're Looking For

Must-Haves:

* Super strong organisational skills and eagle-eye attention to detail.
* Confident, friendly communicator (both written and verbal).
* A professional and positive attitude with a can-do approach.
* Ability to work independently, manage time well, and juggle competing priorities.
* Solid computer skills (Microsoft Office and/or Google Workspace).
* A current driver's license and reliable transport.
* The right to work in Australia (residency preferred).

Nice-to-Haves:

* Experience with Xero or similar accounting platforms.
* Previous experience in admin, events, or customer service roles.
* Familiarity with event/market booking software.
* Experience managing rosters, staff or volunteers.
* Confidence using the full Google Workspace suite.

Job Types: Part-time, Permanent

Pay: $25.85 – $46.00 per hour

Experience:

* Event planning: 1 year (Preferred)
