We’re on the lookout for motivated Office Administrator – Service and Parts to join our team at the new Brisbane Port location. In this role, you will provide timely and accurate reception and administrative support, assisting in the effective day-to-day operation of the Administration Department. You will also play an important role in supporting our Service and Parts team, helping ensure smooth coordination between departments and delivering excellent internal and customer service. This is a great opportunity for someone who enjoys working in a fast-paced environment, is highly organised, and takes pride in providing efficient administrative support. What you’ll be doing Provide general office and branch administration support, including correspondence, filing, supplies, uniforms, and maintaining staff records and registers Support HR and compliance processes, including onboarding documentation, training coordination, and WHS records and paperwork Deliver professional reception and customer service, including answering phones, greeting customers, directing enquiries, and managing branch inboxes Coordinate communication and bookings between customers, the service workshop, and the parts department Provide service administration support, including creating and managing job cards, assisting with job control tasks, and preparing quotes and invoices Assist with warranty administration, ensuring claims, documentation, and parts processing are completed accurately and on time Support parts administration when required, including invoicing, customer enquiries, stock processes, and supplier paperwork Maintain organised records, registers, and documentation across administration, service, and warranty functions Help maintain a professional, safe, and well-organised office and reception environment Provide general administrative assistance to the Branch Manager and other departments as required What we're looking for Previous administration experience Previous service administration, warranty or parts administration experience Customer-focused, team-orientated, self-motivated and enthusiastic Excellent attentional to detail, communication and organisational skills Intermediate computer skills Previous experience working in a vehicle dealership is desirable Certificate III in Business (preferred) Why join us?
