**About Victorian Paediatric Rehabilitation Service - Monash Health**
The Victorian Paediatric Rehabilitation Service (VPRS) is a statewide specialist service which caters for the complex rehabilitation needs of children and adolescents after major injury, medical illness, and congenital conditions who undergo interventions aimed at functional maximisation. VPRS has 8 sites Eastern Health, Bendigo Health, Barwon Health, Grampians Health, Goulbourn Valley Health, Latrobe Regional Hospital and at The Royal Children's Hospital. **About the Role**
The administration officer is responsible for effective and efficient clerical and administrative support to the Rehabilitation team. He/she will assist with the coordination and maintenance of office practices. He/she will undertake duties that contribute to the process of maintaining the Rehabilitation information management systems, recording and dissemination of information and general administration processes.
- Provide secretarial and administrative services, including appointment organisation, booking of meeting venues, typing and compilation of letters and reports, organisation of meetings, compilation of meeting minutes and agendas, and assisting in the organisation of functions.
- Ensure that all families and relevant external agencies are notified in a timely manner regarding outpatient clinic and procedure appointments.
- Assist with organisation of patient admissions and scheduling.
- Maintain files and records, correspondence and child specific information in the appropriate file and ensuring aspects are noted on the relevant database where appropriate.
- Collection of UR histories and liaison with Health Information Services.
- Reception duties such as greeting visitors, answering the phone and sending and collecting faxes
- Liaison with members of the public, families, and external agencies. This includes ensuring consumers are linked to the appropriate person within the program in a timely manner.
- Undertake all aspects of office management including mail collection and distribution and payslip collection.
- Assist in the maintenance of office supplies, ensuring stocks are maintained at an appropriate level at all times.
- Assist in purchasing equipment and consumables for the program.
- Assist in the compiling of and maintenance of mail/contact lists and relevant distribution of information such as questionnaires
**About You**
**Essential**:
- Demonstrated computer skills with proficiency in Microsoft office programs
- Demonstrated experience with databases including IPM and HMS
- Familiarity with medical terminology

- _Previous experience in a health care setting_
**Technical skills/knowledge/experience**:
- Excellent interpersonal and communication skills
- Strong time management and organisational skills
- Ability to prioritise work as required
