Overview
MARS Building is an award winning builder with over 25 years' experience in the Newcastle, Lake Macquarie and Hunter region, expanding throughout Sydney and the Mid North Coast. MARS Building specialises in all aspects of the building industry including commercial developments, fit-outs and refurbishments; residential multi-unit developments and high-end housing construction; as well as maintenance, facility management and remedial works.
We are looking for a Contracts Administrator to join the team In this role, you will be responsible for the efficient management of projects' contracts. This position is a full-time ongoing position, working 40 hours per week based in Beresfield, NSW.
Main tasks
* Drafting contracts to meet legal and organizational requirements.
* Maintaining detailed records of contracts and ensuring data accuracy.
* Reviewing and editing contract terms to ensure alignment with company policies and risk management standards.
* Ensuring full understanding of MARS building Head contracts to identify client variations and maintain updated scope of works, ensuring all contract terms adhere to legal regulations and compliance standards.
* Serving as the point of contact for contract-related inquiries/issues from vendors and clients.
* Effectively communicating non-performance to suppliers and subcontractors.
* Effectively implementing and maintaining document control systems, ensuring easy retrieval and secure storage of all contract documents.
* Preparation of all documentation required to receive construction certificates and final occupancy certification, managing the signing process and the coordinating approvals.
* Preparing contract status reports and summarizing contract data for management (overseeing architectural, structural, landscape, and services drawings to ensure compatibility after design changes).
* Working with stakeholders to address risk areas effectively, promoting collaboration.
* Preparation of end-of-month contracts status reports for projects, covering time, quality, and budget aspects, as well as analyzing contract trends to identify areas for process improvement.
* Evaluating monthly contracts reports to ensure jobs are on track and reporting to management on deviations (tracking key milestones, deliverables, and expiration dates to ensure compliance).
Required/Relevant Qualifications & Work Experience
* Minimum of a relevant Diploma qualification
* At least 2 years' relevant experience, or at least 3 years' relevant experience to substitute the formal/relevant qualification
Required/Relevant Skills & Knowledge
* Ability to understand and evaluate contract terms, identifying potential risks or issues.
* Adjusting to new information, contract changes, or unexpected project requirements smoothly.
* Building positive relationships with clients, contractors, and internal teams for smoother communication and trust.
* Prioritising tasks and meeting tight deadlines, especially during busy project phases.
* Handling disputes or disagreements over contracts diplomatically to find mutually beneficial solutions.

Annual salary will be between $100,000.00 to $105,000.00 (plus superannuation) depending on level of experience.
