This is a 12 month maximum term role predominantly based at our Joondalup office location; however, it would require some travel and days in West Perth. What will you be doing? Managing diaries and inboxes: Proactively coordinating schedules, meetings, and travel for the General Manager and senior leaders, ensuring priorities are balanced and demands are managed with professionalism and discretion. Preparing meetings and materials: Organising internal and external meetings, preparing agendas, briefing packs, and board papers, taking accurate minutes, and tracking follow-up actions. Coordinating events and functions: Managing logistics such as venues, equipment, and catering, and supporting both business functions and team social events. Supporting financial and planning processes: Assisting with budgeting, forecasting, and financial reporting, including processing invoices, expenses, and reconciliations, while contributing to annual and business planning. Enhancing administration and record-keeping: Maintaining accurate filing and records systems, coordinating archiving, and identifying opportunities to improve administration processes. Providing project administration support: Assisting with key Sales & Member Service or group initiatives and projects to ensure smooth delivery. Building relationships and supporting the team: Establishing strong working relationships with senior leaders, executives, and external partners, while providing guidance to junior administration employees. What are we looking for in you? Experience and Roles: Significant experience as a Personal or Executive Assistant, including roles as an Office Manager or Supervisor. Autonomy and Initiative: Ability to work autonomously, employ initiative to find solutions, prioritise tasks, and exercise discretion. Organisational Skills: Excellent organisational and administration skills with a proactive and flexible approach to work. Communication and Interpersonal Skills: Strong interpersonal, communication, and negotiation skills with a demonstrated ability to build and maintain relationships. Education and Certification: Relevant certification in Business/Secretarial studies and a Cert IV in Frontline Management are desirable. Values and Confidentiality: Ability to operate effectively in a Values/Behaviour-based organisation, role model behaviours, and uphold confidentiality. Planning and Financial Acumen: Skilled in planning and aligning work with organisational goals and applying financial acumen to make informed business decisions. What can we offer you? Innovative Environment: Work with a team that is trying new and creative things in a changing environment. Focus on Career Development: Join a team that values personal development and enables continuous learning opportunities, and career progression within a supportive and growth-focused environment. Work-Life Balance: Benefit from flexible and hybrid working arrangements, including temporary remote work options and a focus on work-life balance. Impactful Projects: Contribute to high-impact projects or products that directly enhance RACWA's services to its members and the community. Diverse and Inclusive Workplace: Be part of an organisation that embraces diversity and inclusion, ensuring a welcoming environment for all employees. Employee Wellbeing: Take advantage of a strong focus on employee wellbeing, including mental health support, wellness programs, and fitness incentives. Community and Social Responsibility: Engage in meaningful community and social responsibility initiatives that align with RACWA's values and mission. About RAC RAC WA is a member-focused organisation dedicated to serving the Western Australian community.
