Offer description

This nationally recognised organisation employs over 9,500 people across Australia, and operates within a complex, workforce-intensive environment. Driven by continuous improvement, the business is investing in its systems and processes to better support their frontline operational teams.

With ongoing transformation across workforce platforms, there is a strong focus on improving how systems are used, integrated, and understood across the business. Technology plays a critical role in enabling operations, and this role sits at the centre, connecting systems, people, and processes to drive better outcomes.

The Opportunity

We're seeking a driven, hands on Project Coordinator / Communications Analyst who is highly organised and enjoys handling the behind the scenes details. You'll take ownership of driving the project to meet timelines, budgets and manage the flow of communication. You'll be encouraged to identify concerns, as well as opportunities for improvements. Maintain and monitor the project schedule with team leaders, recognise any slippages or critical path impacts and escalate to the Project Manager when relevant. You'll work alongside the Project Manager and Change Lead to manage the schedule and project interdependencies.

This role will suit someone who:
* Can confidently engage with stakeholders across the business
* Thrives in environments where things aren't always perfectly defined
* Likes to solve problems
* Able to manage multiple priorities effectively in a dynamic environment
What You'll Do

In this role, your primary function is to serve as the administrative hub of the project team, ensuring that complex deliverables are met on time and that all administrative and financial workflows remain organised. You will be central in implementing a comprehensive workforce management solution across the business.

* Manage project schedules, dependencies, and key deliverables across multiple workstreams
* Track progress against milestones, identifying risks, slippage, and critical path impacts
* Develop and deliver high-quality project reporting, packs, and executive-ready updates for senior stakeholders
* Translate complex project activity into clear, structured, and commercially focused communications for the business
* Create presentation materials and decks that provide visibility on progress, risks, decisions, and outcomes
* Ensure consistency of messaging across all project communications, aligning multiple workstreams into a single narrative
* Track and manage project spend in Excel, including vendor costs, timesheets, and invoicing
* Reconcile financials and provide visibility on budget vs actuals, identifying risks and areas requiring attention
* Support the Project Manager and leadership team with insights that inform decision-making and prioritisation
* Maintain traceability of decisions, changes, and key project artefacts
* Contribute to planning activities including transition, migration, and cutover readiness
What You'll Bring

You're highly organised, driven and enjoy supporting projects to meet expectations and deadlines. You're comfortable navigating complexity, and have a highly disciplined approach to project administration.

* Proven experience coordinating projects within complex or enterprise environments
* Strong experience producing high-quality project communications, including stakeholder packs, reporting, and executive-level presentations
* Ability to translate detailed project information into clear, concise, and commercially meaningful messaging
* Confidence engaging with senior stakeholders and tailoring communication to different audiences
* Experience managing project governance, reporting, and stakeholder engagement across multiple workstreams
* Confidence working with project financials, including tracking spend, vendor costs, and budgets (Excel-based)
* Ability to bring structure and clarity where processes or visibility may be lacking
* Strong organisational skills with the ability to manage multiple priorities and moving parts
* High attention to detail, with a focus on accuracy, consistency, and follow-through
* Excellent communication and interpersonal skills, with the ability to influence and align stakeholders
