Project Administrator – Perth, Malaga based office (Full-time)
Powertech is an Electrical Engineering Services Provider delivering HV/LV & E&I engineering, installation, commissioning, testing and operations and maintenance services to clients in the Mining & Minerals, Oil & Gas, Energy & Utilities, Refineries & Infrastructure, Defence, Renewable Energy, Ports & Rail Sectors across Australia and SE Asia.
Reporting to the Administration Lead, the main responsibilities include but are not limited to:
* Execute assigned projects diligently, effectively, professionally and within agreed timeframes.
* Liaise with Project Manager/Leads on administration requirements for projects to ensure our systems are correctly set up from quote to final invoicing and close out.
* Attend to customer queries and requests while ensuring the client requirements are met.
* Approve project time and expenses.
* Maintain various registers, spreadsheets, and documents appropriate for each Project; ensure documentation is correctly filed and accessible.
* Ensure all project documentation is maintained for monthly reporting.
* Maintain training and competency records.
* Ensure all resource scheduling is current and accurate.
* Maintain various registers and spreadsheets appropriate for each Project.
* Ensure accurate and on-time client invoicing and follow up on aged receivables.
* Purchase materials for internal and external projects including raising purchase orders.
* Utilise operations support to ensure smooth operations within the projects you administer.
* Assist with administering all personnel site requirements including inductions, travel, training, medicals, and client documentation/systems.
* Perform any other Adhoc tasks as advised by the Administration Lead.
What you'll bring to the team:
* Cert III, Cert IV, Diploma in Business Administration or similar.
* Proactive & well organised.
* Excellent written and verbal skills are essential.
* Proficient in Microsoft Office Applications (Outlook, Word, Excel), with willingness to learn our in-house software system and use it daily.
* Strong Administration background will be viewed favourably.
* Experience with an ERP system (SAP, Oracle, Epicor, Pronto etc.) desirable.
* Previous experience in a busy administrative and operational support role.
* Excellent interpersonal skills and great attention to detail.
* A practical and well organised approach with a proven ability to multitask.
* Competent to work in a high-pressure environment.
