Job Summary: The Payroll & Account Coordinator for an NDIS-registered provider is
responsible for managing the accurate and timely processing of payroll for staff and contractors,
ensuring compliance with NDIS (National Disability Insurance Scheme) guidelines. This role works closely with the finance, HR, and operational teams to ensure payroll is correctly
calculated, and funding and invoicing align with NDIS requirements.
Key Responsibilities:
- Payroll Processing:
- Oversee the processing of payroll for employees, including support workers
and contractors, ensuring compliance with NDIS rates and funding allocations.
- Accurately track and process employee hours, ensuring NDIS-specific
allowances, rates, and deductions (e.g., shift penalties, overtime, leave
entitlements) are applied correctly.
- Ensure all payroll data is processed within required timelines, including
timesheet submission, verification, and corrections.
- Compliance with NDIS Regulations:
- Ensure payroll processes comply with NDIS guidelines, including
understanding NDIS pricing arrangements and participant funding plans.
- Monitor and reconcile funding allocations for services delivered to NDIS
participants, ensuring that payroll is aligned with service agreements and
participant plans.
- Maintain accurate documentation for financial audits and ensure NDIS service
provider compliance with relevant financial reporting standards.
- Financial Reporting & Documentation:
- Generate accurate payroll reports and financial documents, including pay slips,
tax forms, and superannuation payments.
- Assist in generating billing statements and invoices for NDIS services, ensuring
alignment with participant plans.
- Keep up to date with changes in NDIS funding and pricing arrangements to ensure payroll is aligned with any updates or regulatory changes.
- Employee Support & Inquiries:
- Respond to payroll inquiries from staff, addressing issues such as pay
discrepancies, deductions, leave entitlements, and pay slips.
- Support employees with any payroll-related queries or issues, including handling sensitive payroll information with confidentiality.
- Reconciliation and Auditing:
- Perform regular payroll reconciliations to ensure that payroll data is accurate and consistent with financial records.
- Assist with internal audits, NDIS audits, and any external audits of payroll and
financial records.
- Record Maintenance & Privacy:
- Maintain accurate and secure payroll records for employees in accordance with NDIS privacy regulations and company policies.
- Ensure all payroll and financial records are stored and managed in compliance
with privacy laws, particularly regarding sensitive information about participants.
- Continuous Improvement:
- Suggest improvements to payroll processes and systems to ensure efficiency,
accuracy, and compliance with changing NDIS guidelines.
- Collaborate with HR and Finance teams to streamline processes and ensure seamless integration of payroll functions.
