Looking for a Full-time Office Coordinator

The Office Coordinator plays a key role in ensuring the smooth day-to-day operations of AVWA's offices.
As the first point of contact, this position is responsible for providing a professional, friendly, and welcoming experience for all employees, clients, and visitors.
The role oversees office operations, administrative support, and workplace management—including room bookings, office supplies, equipment maintenance, and general workplace cleanliness—to ensure a safe, efficient, and organised work environment.
What we are looking for:
Oversee the office environment, including building access and office communications
Coordinate office operations including reception, stationary, mail, couriers and other administrative procedures
Schedule room bookings as required
Welcome clients, visitors and internal employees
Monitor office expenditures within allocated budget and oversee office maintenance including electrical test and tag
Maintain office equipment and inventory including kitchen and bathroom supplies
Support events, meeting and conferencing needs
On-boarding new starters with IT including assigning equipment and seating arrangements
Process improvement initiatives
Ad hoc administrative support
Work with management team to ensure safety and wellbeing on site
Complete administration tasks on time
Manage clients, suppliers, and support employees in a professional manner at all times
Ensure the office is functional and presentable at all times
The above list is not exhaustive and the role may change to meet the overall objectives of AVWA.
Any other relevant duties as reasonably required by the management.
Who you are:
Relevant qualifications such as Cert IV Business, or equivalent industry experience
Minimum 3 years experience in a similar office environment, office administration, reception, or coordination roles
Strong organisational and time management skills
Customer service focus and professional presentation
Excellent verbal and written communication abilities
Proficiency in Microsoft Office Suite
Strong sense of discretion and professionalism
Attention to detail and problem-solving capability
Proficiency in English and Vietnamese language skills
