**Job Overview**
As the **Operations Manager** at Flowlane Group, you will be responsible for translating our vision into robust business processes, operational systems, and workflows. We're looking for someone to bridge the gap between strategic intent and day-to-day execution. You'll lead initiatives in project management, process improvement, **technology stack evolution (including AI workflows)**, and **people management** to ensure that every facet of our organisation operates at peak efficiency and delivers **exceptional client value**. Your **commercial acumen** and ability to **interact with clients** will be key to success.
**Key Responsibilities**
- **Operational Strategy & Process Development**:
- Translate vision into clear, actionable business processes and operational systems tailored for an agency environment.
- **Develop, document, and implement Standard Operating Procedures (SOPs)** across all departments, ensuring clarity and consistency.
- Identify areas for process improvement and lead initiatives to enhance operational efficiency and scalability.
- **Systems Integration & Automation**:
- Oversee the integration of various business systems, ensuring seamless communication and data flow.
- **Spearhead the evaluation, implementation, and management of new tech stacks and automation tools**, including project management platforms and **AI-driven workflows**, to enhance productivity and service delivery.
- Evaluate and adopt new technologies proactively to support evolving business and client needs.
- **Project Management & Execution**:
- Lead cross-functional projects from inception to completion, ensuring projects are delivered on time, within budget, and meet quality standards.
- Utilise project management tools to monitor progress, manage resources, and mitigate risks effectively.
- Coordinate with departments to ensure alignment of operational goals and resource allocation.
- **Leadership & People Management**:
- Serve as a key advisor to the leadership team, providing insights and updates on operational performance.
- **Manage and mentor operational staff or cross-functional project teams**, fostering a culture of accountability and continuous improvement.
- Work collaboratively across the agency to ensure effective execution of strategic initiatives.
- **Collaborate with Account Management to support client interactions** regarding operational processes, technical setups, or project execution, ensuring a smooth client experience.
- **Performance Monitoring & Reporting**:
- Establish and track key performance indicators (KPIs) to measure the effectiveness of implemented systems, processes, and technologies.
- Prepare regular reports and presentations for the executive team, highlighting operational achievements, challenges, and areas for improvement.
- Foster a culture of continuous improvement through data-driven decision-making, demonstrating strong **commercial awareness**.
**Required Skills & Qualifications**
- **Proven Operational Expertise**:
- Minimum 7 years of experience in operations, process design, automation, system design, or systems integration, **ideally including experience within a marketing agency environment.**:
- Demonstrated success in translating high-level strategic visions into effective operational systems and **creating robust SOPs**.
- **Technical & Automation Proficiency**:
- Strong **technical aptitude** with proven ability to **spearhead the adoption of new tech stacks, automation platforms, and AI-driven workflows.**:
- Extensive experience with project management tools and implementing process documentation.
- **Strategic & Analytical Mindset**:
- Deep understanding of business process improvement, systems thinking, and data-driven decision-making within a client-service context.
- Strong **commercial acumen** with an understanding of how operational efficiency impacts business profitability and client value.
- Experience with EOS/Traction methodologies or similar frameworks is a plus.
- **Leadership & Communication**:
- Excellent leadership skills with demonstrated experience in **people management**, leading both direct reports (if applicable) and cross-functional teams.
- Superior communication and interpersonal skills, with the ability to clearly articulate strategies and operational plans internally.
- **Ability to confidently communicate with clients** on operational and technical matters, effectively supporting account management efforts.
- Highly organized with exceptional attention to detail and a proactive approach to problem-solving.
