The role will also involve some Saturday working)******Saturday hours are 8am to 2pm*****We make health happen**.The Canary Wharf Centre at 50 Bank Street is a purpose-built Specialist Diagnostics & Dental Centre opening in May 2026. It will feature state-of-the-art diagnostic facilities, including MRI and CT scanning, X-ray and mammography, enabling high-quality care in a modern environment designed to support clinical excellence.The centre will provide a wide range of services, including secondary care for orthopaedics, pain and spinal, dental and maxillofacial, breast and gynaecology, dermatology, and ear, nose and throat, with the ability to perform procedures onsite. It will also offer cardiology, urology, ophthalmology and neurology, alongside primary care services such as health assessments, private GP appointments, women's health plans, physiotherapy and dental care.This development is part of our ambition to grow our business and transform the healthcare markets we operate in, offering customers greater choice and better access to services. Most patients will benefit from end-to-end care under one roof, with onward referrals within the Bupa network when needed. By delivering more connected care, we aim to make healthcare simpler and more joined up for our customers*.***Role Overview**Under the general guidance of the Administration Operations Manager, you will be responsible for all activities on any Reception Desk in any area of the Canary Wharf centre. You'll also provide a link between the Centre, Patients, Consultant or other users.You'll coordinate patient registration, preparation of outpatient accounts, receipting payment for hospital services. Delivering a premium, concierge-level customer service experience to all patients, ensuring every interaction reflects professionalism, empathy, discretion, and attention to detail.**Role Responsibilities and Duties:*** Actively Meet and Greet patients and visitors in a warm, respectful, and courteous manner at all times, acting in a professional manner.* Interview patients in a polite and friendly manner to obtain relevant information for registration purposes; updating patient details at each appointment; inputting all information accurately onto the computer system.* To be fully conversant in all areas of Reception; either Main Reception or other areas where patients are "arrived" in a department.* Issue Medical Record Numbers, front sheets, labels, make up medical records and other administrative documents as required.* Provide efficient and effective administrative support during our user's clinics or tests, or procedures.* Deal with letters of guarantee and liaise with insurance companies as required.* Respond to all enquiries regarding hospital facilities or re-direct enquires to the correct departments when needed. Deal with all Reception queries and complaints in a courteous and timely manner* Action all requests from patients, doctors, and visitors to the hospital courteously, promptly and efficiently.* Check, bill, and post daily all charges for Clinical or other areas as required.* Make follow-up bookings for patient after their appointment. Also, assist patient with booking further tests or consultations.**Clinic specific Responsibilities and Duties:*** To provide basic secretarial support to the department; coordination of clinics schedule, assisting with filing, communication of tests results and filing the same with other notes or letters.* To receive telephone messages and relevant queries. Send/receive faxed messages and relay promptly to doctor concerned.* Confidently navigate scheduling, clinical, radiology, and finance systems to manage appointments, referrals, diagnostics, results tracking, and follow-up communications.* Utilise multiple systems and digital platforms to coordinate and support the full patient pathway across health clinics, secondary care, and radiology services, ensuring accuracy, efficiency, and continuity of care.* Work in an agile and flexible manner to support patients and colleagues across the wider business, adapting to changing priorities and operational demands while maintaining exceptional service standards.**Key Skills / Qualifications needed for this role:*** Experience in Administration within a healthcare environment* Good communication and strong interpersonal skills* IT Skills* Excellent telephone manner* Articulate and Polite* Organisational skills – meeting deadlines and prioritising workloads* Confident and can work under pressure* Natural ability to empathise with patients and demonstrate genuine care* Ability to work as part of a team* Ability to work independently and autonomously**Benefits**Our benefits are designed to make health happen for our people.
